Casa de la Familia is seeking a dedicated Virtual Assistant with billing experience to join our team remotely!
Casa de la Familia specializes in the treatment of post-traumatic, anxiety, and depressive disorders, offering crisis intervention and long-term therapy for individuals and families. We collaborate closely with various city, county, and state social service agencies, police departments, victim advocates, family resource centers, nonprofit organizations, and community service programs. Our primary focus is on providing culturally sensitive and relevant services to underserved and underrepresented minority populations.
JOB DESCRIPTION
We are looking for a proactive Virtual Assistant with a strong background in administrative tasks and billing. The ideal candidate will perform a variety of administrative and clerical duties, with a focus on managing billing processes and supporting our team’s daily operations. This role requires excellent organizational skills, strong attention to detail, and the ability to work independently in a remote environment. If you have experience in administrative support, billing, and are comfortable working in a virtual setting, we’d love to meet you.
SKILLS
- Proven experience as a virtual assistant, administrative assistant, or in a similar remote role.
- Familiarity with billing processes and financial record-keeping.
- Proficiency in office management systems and procedures.
- Strong working knowledge of office equipment, including virtual tools for remote work.
- Proficiency in MS Office, particularly MS Excel and MS PowerPoint.
- Excellent time management skills and the ability to prioritize tasks effectively in a remote environment.
- Attention to detail and problem-solving skills.
- Strong written and verbal communication skills.
- Excellent organizational skills with the ability to multitask in a virtual setting.
REQUIREMENTS
- Must be fluent in Spanish.
- Previous coursework or experience in psychology/sociology is preferred.
- Experience with billing is a must.
- Experience in a healthcare or mental health setting is a plus.
- Ability to work independently and manage multiple tasks remotely.

Responsibilities:
- Manage and maintain accurate billing records and client accounts.
- Prepare and send invoices, track payments, and handle billing inquiries.
- Answer and direct phone calls in a professional manner.
- Organize and schedule appointments, including coordinating virtual meetings.
- Prepare and distribute email correspondence, memos, letters, and forms.
- Assist in the preparation of regularly scheduled reports, including financial summaries.
- Develop and maintain an efficient filing system, ensuring all documents are properly categorized.
- Update and maintain office policies and procedures remotely.
- Maintain and update contact lists and client databases.
- Book travel arrangements for remote team members, if necessary.
- Submit and reconcile expense reports for the finance department.
