Founded in 1990, NYLAG is a leading civil legal services organization combatting economic, racial, and social injustice by advocating for people experiencing poverty or in crisis. Our services include comprehensive, free civil legal services, financial empowerment, impact litigation, policy advocacy, and community partnerships. NYLAG exists because wealth should not determine who has access to justice. We aim to disrupt systemic racism by serving individuals and families whose legal and financial crises are often rooted in racial inequality. NYLAG goes to where the need is, providing services in more than 150 community sites (e.g. courts, hospitals, libraries) and on our Mobile Legal Help Center. During COVID-19, most of our services are virtual to keep our community safe. NYLAG’s staff of 380 impacted the lives of nearly 129,000 people last year.

JOB DESCRIPTION

We are seeking an Administrative Clerk to join our office. The Administrative Clerk plays an important role in performing routine clerical and organizational tasks. While the majority of the tasks are administrative in nature, there are components of this job that regularly include manual labor, such as lifting file boxes and bins of mail. This position reports to the Office Manager.

Duties and Responsibilities

  • Restocking office supplies
  • Filling copiers/printers with paper
  • Making sure kitchens, copy rooms, and conference rooms are fully stocked, cleaned, and ready to be used
  • Lifting and moving file boxes around the office
  • Covering reception desk when receptionist is at lunch or on vacation
  • Answering phones
  • Distributing incoming mail
  • Preparing outgoing mail, including daily trip to the nearby post office
  • Out of office errands for programmatic units (i.e. court filings and personal service of court documents) and general administrative needs. This requires taking public transportation around NYC.
  • Occasional out of office errands for office supplies
  • Answering general office or basic technology questions from staff
  • Depositing checks at the bank
  • Scanning large paper files for electronic archives
  • Start and empty dishwashers in kitchens daily
  • Laminating and posting signs
  • Other miscellaneous administrative tasks including but not limited to minor handyman tasks such as fixing cabinet doors or drawers, being present for vendor deliveries
  • Data entry
  • Ability to adapt and pivot tasks, projects, and priorities as needed

Qualifications

  • Fluency in Spanish strongly preferred
  • Minimum of a High School Diploma
  • Excellent customer service skills and ability to work effectively with clients of diverse cultures and backgrounds
  • Must be personable, have a sense of humor, able to multi-task and work under pressure
  • Demonstrated ability to handle clerical duties while attending to phones and visitors
  • Good judgment and discretion to represent NYLAG in a highly professional manner
  • Ability to communicate effectively and to follow oral and written instructions
  • Must be able to lift 50 lbs.
  • At least 1 year experience in administrative office work preferred
  • Basic knowledge of Microsoft Office programs preferred
  • Valid driver’s license a plus.
