We are recruiting for an Administrative Coordinator to join the corporate Head Office team in Saint John, NB. Reporting to the Credit & Billing Manager, the Administrative Coordinator is responsible for the scheduling of all on air announcements, advertising, and promotions. This position interacts with sales, creative writing, programming, and the promotions department, and is essential to the smooth operation of the station.

QUALIFICATIONS:

  • High school diploma plus some college in a related field
  • Highly organized with great attention to detail
  • Ability to multi-task, prioritize and meet deadlines in a high paced environment
  • Strong written and verbal communication skills
  • Has a desire to learn and is highly adaptable to change
  • Computer literacy – working knowledge of MS Office Suite is expected
  • Works well independently and as part of a team
  • Experience in an administrative role would be considered an asset

Responsibilities:

  • Scheduling on-air announcements, promotions, and advertising
  • Create and distribute daily commercial airtime logs for select stations
  • Perform daily deposits and balance payments within the system
  • Generate and distribute invoices and account statements on a timely basis
  • Ensure customer accounts are maintained and updated
  • Provide reports and support to stations and their team members
  • Regular interaction with advertising customers
  • Ensure consistency and compliance to process and timelines
  • Being part of a team performing continuous process improvement
  • Ensuring contractual rate integrity and consistency for orders entered within the system
  • Ensuring proper approvals are received on all transactions
  • Verifying that transactions comply with credit policies and procedures
  • Performing general office duties as required
  • Other duties as assigned
