Description:

ESSENTIAL EXPERIENCE/ QUALIFICATIONS:

  • At least five years of administrative experience
  • Tech savvy and comfortable learning new technology platforms and tools, with a high level of proficiency in Microsoft Office Suite
  • Superior verbal and written communication skills
  • Demonstrated analytical and organizational skills with strong attention to detail
  • Can work independently and prioritize multiple stakeholders and overlapping projects with tight deadlines
  • Ability to work across all levels of the organization including senior executives and external vendors with confidence and diplomacy
  • Collaborative and ability to establish trust and credibility across Global Legal and all business stakeholders
  • Passion for continuous improvement and innovation
  • Ability to handle confidential and sensitive information with discretion

DESIRED EXPERIENCE/ QUALIFICATIONS:

  • Experience with Document Management and E-Billing platforms, such as iManage, HighQ, CounselLink, and Legal Tracker would be a plus
  • Experience working in a legal or professional services environment

Responsibilities:

INTRODUCTION TO ROLE:

In this role, you will be responsible for supporting the Legal Operations team, handling special projects and solving miscellaneous questions that arise. In addition, you will collaborate with the Global Legal team on the key legal administrative workflows, such as payments and document management, as well as becoming a subject matter expert in key technology systems used by the Global Legal department.

RESPONSIBILITIES:

  • Provide administrative support to the Legal Operations team and wider Global Legal department
  • Become a subject matter expert in key legal technology systems
  • Provide sound advice with respect to deployment and use of legal technology tools to support efficient workflows (including AdobeSign/DocuSign, Power BI, Microsoft Teams, Power Automate, etc.)
  • Support the Legal Operations team in providing ongoing development and maintenance of training, educational and knowledge management resources
  • Handle special projects and solve miscellaneous problems that arise
  • Assist with research, data entry, expenses, filing, scanning, copying, and mailing as needed
  • Prepare, edit, format, and mail legal documents, correspondence, emails, and reports
  • Maintain electronic and physical files and records in compliance with policies and procedures
  • Manage the Global Legal department’s memberships, subscriptions, and licenses. Ensuring timely and cost-effective renewals and payments
  • Liaise with internal and external stakeholders, such as clients, vendors, and courts
  • Update legal department intranet site and related shared sites
  • Ad hoc duties as assigned
