REQUIREMENTS

  • Office management assistant and further training as a management assistant or comparable further training with several years of professional experience
  • Comprehensive knowledge of the relevant IT systems (e.g., weBuy, CorA, Carmen, InvoiceTrack, SAP, MS Office, Concur, Sharepoint)
  • Self-motivated, flexible and thrive in a fast-paced environment
  • Strong organizational skills with the ability to multi-task
  • Excellent communication and interpersonal skills
  • Fluent communication skills in English and German

Responsibilities:

  • In this role you will act as a process owner for the sourcing process (initiate purchase orders, drive the review and approval process, track invoices, etc.).
  • You will ensure that BI X operations run in accordance with all regulations, company policies and procedures (e.g. EHS Management, LOS, etc.).
  • Have you ever thought about being the first point of contact for new employees? You will be responsible for welcoming them, distributing IT equipment, setting up accounts, and granting system access to our systems.
  • In addition, you will perform general administrative support for leadership and the BI X team (e.g. schedule, plan and organize appointments, meetings & workshops, take care on reimbursements, write correspondence, contract management in CorA, time management).
  • You will coordinate tasks around the BI X facilities and our BI X infrastructure, this includes the maintenance of inventory and order supplies.
  • Finally, you will act as point of contact for internal and external visitors.
