Description:

Robert Half is seeking an Administrative Coordinator to join our client’s fast-growing startup headquartered in the heart of NYC. POSITION SUMMARY:

The Administrative Coordinator will work as an essential part of our back-office operations, supporting our sales team by managing the full lifecycle of document processing related to deals, corresponding with clients and stakeholders, and aiding with deal closings. This position is crucial to ensuring smooth operations and accurate documentation across the organization. Given the startup environment, this role offers the opportunity to undertake additional responsibilities and work across departments.

QUALIFICATIONS:

Education: A Bachelor’s degree is required.
Experience: Minimum of 1 year of administrative experience, ideally in a car dealership, automotive sales company, or similar environment.

SKILLS:

Excellent written and verbal communication skills.
Strong organizational skills and high attention to detail.
Proven ability to multitask and manage multiple priorities simultaneously.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with document management systems.
Ability to work independently and efficiently, ensuring deadlines are met in a fast-moving startup setting.
Availability: A willingness to work late and accommodate a flexible work schedule as required by the team’s needs.

PREFERRED QUALIFICATIONS:

Previous experience working in a startup or high-growth environment.
Familiarity with permit filing and regulatory documentation in the sales process.
Experience building or improving administrative systems and workflows.

Responsibilities:

Manage and oversee the full lifecycle of document processing, including preparation, review, and filing, ensuring accuracy and compliance throughout.
File permits and ensure regulatory documentation is submitted and processed efficiently.
Track correspondence with stakeholders, including managing communication logs and maintaining follow-ups to ensure deadlines are met.
Assist with deal closings by providing administrative support to the sales team and ensuring all required documentation is completed and filed.
Organize and maintain physical and digital filing systems to ensure easy access to critical documents.
Proactively identify and implement process improvements to streamline administrative workflows.
Act as the central point of contact for administrative inquiries, including coordinating with other departments when required.
Support the sales team and leadership with ad-hoc administrative tasks, special projects, and cross-functional assignments.
Collaborate with colleagues to manage time-sensitive deliverables in a fast-paced, highly flexible startup environment.
Handle other administrative responsibilities as needed, showcasing multitasking abilities and adaptability.
