POSITION OVERVIEW:

We are looking for a motivated and organized Administrative Assistant to join our team and help ensure the smooth day-to-day operation of our office.
The Administrative Assistant will play a crucial role in managing office activities, ensuring that our workspace is welcoming, and supporting our team with a variety of administrative tasks. The ideal candidate is a proactive problem-solver with excellent communication skills and a strong attention to detail.
Job Type: Full-Time, Non-Exempt (Hourly)
Pay: $20.00 per hour
Schedule: Monday-Friday, 8am-5pm

Key Responsibilities:

  • Phone & Client Interaction: Answer and direct incoming phone calls in a professional and courteous manner. Greet and assist visitors and clients as they arrive.
  • Office Management: Ensure that office supplies are stocked and reordered, as necessary. Maintain the upkeep and functionality of office equipment such as copiers, printers, and fax machines, coordinating repairs when needed. Work with vendors and outsourced I.T. support.
  • Scheduling & Coordination: Assist in scheduling meetings, appointments, and maintaining the firm’s shared calendar. Organize and prepare meeting rooms, meals and setup as needed.
  • Filing & Document Management: Maintain an organized filing system (both physical and digital), ensuring important documents are properly stored and easily accessible.
  • General Administrative Support: Perform general clerical duties including photocopying, scanning, and mailing documents. Assist with other administrative tasks as assigned by the team, such as preparing reports, drafting correspondence, or managing special projects.
  • Office Environment: Help maintain a clean and organized office space. Occasionally assist in planning office events or team-building activities.

QUALIFICATIONS:

  • Experience:
  • 3+ years previous experience in an administrative or office support role, preferably in an architectural or design firm.
  • Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both verbal and written, with a high level of professionalism.
  • Attention to detail and accuracy in all work assignments.
  • Ability to work independently with minimal supervision and collaborate effectively within a team environment.
  • Discretion and trustworthiness when handling confidential information.
  • Education:
  • High school diploma or equivalent; additional qualifications in office administration are a plus.

PHYSICAL REQUIREMENTS:

  • Ability to sit for extended periods, lift light objects, and move around the office as required.
