With an Executive Team of seven, we are looking to expand our support functions to include a skilled Administrative Assistant that can lend support to the Administrative Services Manager and assist to enhance their efficiency and effectiveness of the Executive Team.

REQUIREMENTS:

  • Minimum three years as an Administrative or Executive Assistant.
  • High school diploma or general education degree (GED) required; associate degree in business administration is preferred.
  • Strong verbal and written communication skills.
  • Comfortable with routinely shifting demands.
  • Exceptional attention to detail.
  • Working knowledge of general office equipment.

Responsibilities:

  • Assist with the management of complex and constantly changing calendars, scheduling and recording meetings and appointments.
  • Coordinate virtual and in-person meetings, taking and maintaining accurate and comprehensive minutes.
  • Participate in meetings and learning events, and engage in team initiatives and projects.
  • Utilizing financial prudence, plans, recommends and secures complex travel arrangements for the entire company including, flights, hotels and rental vehicles.
  • Provide short-term backup support for colleagues as required.
  • Serve as the point of contact for general communications for the executive team, mail, and visitors; route and resolve information requests.
  • Document management: prepare correspondence, prepare and reconcile complex expense statements, ; create reports and presentations.
  • Research and organize data to represent senior management, which may include directors, executives, and committees.
  • Use technical tools and software such as Microsoft Office Suite, especially text processing software and spreadsheets.
  • Act as a virtual assistant and perform other duties as required.
  • Event planning: Engage in planning for corporate events including staff holiday parties, summer picnics, and various other employee events. (ie. Holiday luncheon, winter gala, small conferences and or workshops etc.) .
