Position: Full-Time Administrative Coordinator
Schedule: Monday – Friday (business hours)
Location: UPMC Hillman Cancer Center Shadyside

Responsibilities:

  • Executive Calendar Management: Coordinate and manage executive calendars efficiently.
  • Meeting Coordination: Create agendas, record and distribute minutes, and ensure timely communication.
  • Event Planning: Plan conferences and events for the department and department head.
  • Administrative Support: Provide complex and technical administrative support to multiple departments.
  • Process Improvement: Review and recommend enhancements to administrative procedures and practices.
  • Recruitment and Training: Assist in recruiting, hiring, training, and evaluating employees.
  • Data Analysis: Analyze complex information requests and develop reports for executives.
  • Correspondence: Draft and send correspondence on behalf of the department and department head.
  • High school diploma or equivalent or associate’s degree.
  • 5 years experience in an increasingly responsible administrative support role.
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software
  • Ability to use applicable MS Suite products
  • Advanced knowledge of business processes and procedures
  • Working knowledge of accounting and financial principles and functions
  • Ability to analyze data
  • Ability to use discretion and independent judgmen
