Description:
JOB SUMMARY
The Department of Psychiatry is a large, complex clinical and academic department that provides patient care, delivers education and conducts research in the area of psychiatric illness and treatment. The department is an administrative unit of three separate institutions: Dalhousie University Faculty of Medicine, the Central Zone of Nova Scotia Health (NSH) and IWK Health. Reporting to the Chief Operating Officer, the Administrative Manager is directly responsible for managing, overseeing, and coordinating all administrative aspects of work conducted within the Dalhousie University Division of Child and Adolescent Psychiatry, located at the IWK Health Centre.
REQUIRED QUALIFICATIONS
- Undergraduate degree with five years related and progressive administrative experience in a clinical, research, health-care, or similar environment (or an equivalent combination of training and experience)
- Experience in a supervisory role required.
- Financial management experience, with excellent analytical skills.
- Strong oral and written communication.
- Computer literacy in a variety of software applications (word processing, database, presentation development and financial management programs).
- Excellent interpersonal skills and an ability to manage distressed patients, families, staff, and faculty.
Responsibilities:
- Manages the daily administrative operations of the Division. Works with senior leadership to develop required administrative policies specific to the Child and Adolescent Division/IWK Department of Psychiatry to ensure administrative effectiveness and smooth operation.
- Plans for the Child and Adolescent Division/IWK Department of Psychiatry’s physical space and equipment requirements, manages facility resources, assignments for office space and equipment to new staff.
- Oversees and manages all human resource issues relating to the Child & Adolescent Division/Child and Adolescent Psychiatry, administrative assistants, booking and registration clerks, the division research assistant and multiple research staff.
- Collaborates with Physician Resource Manager in the recruitment and hiring process of division faculty.
- Manages the financial accounts of the Division of Child and Adolescent Psychiatry, IWK Mental Health and Addictions Department of Psychiatry, Division Research Chairs and divisional research accounts.
- Directly supervises and provides guidance to administrative support staff within the Child & Adolescent Division (currently eight administrative assistants, one receptionist), and advises Principal Investigators (PIs) regarding research staff.
