Description:

Job Title: Logistics Coordinator and Customer Service Representative
Overview: We are seeking a dynamic and detail-oriented individual to join our team as a
Logistics Coordinator and Customer Service Representative. This role plays a crucial
part in ensuring the seamless coordination of logistics operations while providing
exceptional customer service to our clients. The ideal candidate will possess excellent
organizational skills, effective communication abilities, and a strong commitment to
customer satisfaction.
Responsibilities:

Logistics Coordination:

  • Coordinate and monitor the end-to-end logistics process, including order

processing, shipment tracking, and delivery scheduling.

  • Collaborate with suppliers, carriers, and internal teams to optimize transportation

and distribution efficiency.

  • Resolve any logistical issues that may arise during the transportation of goods.

Customer Service:

  • Serve as the primary point of contact for customer inquiries, providing timely and

accurate information regarding order status, shipping details, and product

availability.

  • Address customer concerns and inquiries promptly, ensuring a positive customer

experience.

  • Manage customer accounts and maintain accurate records of interactions.

Order Processing:

  • Process and confirm customer orders, ensuring accuracy and compliance with

company policies.

  • Generate and issue invoices for completed orders, ensuring accuracy and

adherence to billing policies.

  • Work closely with the finance department to reconcile any billing discrepancies.

Invoicing:

  • Create and distribute invoices to customers in a timely and accurate manner.
  • Monitor and follow up on outstanding invoices, facilitating prompt payment and

resolving billing inquiries.

  • Collaborate with the finance team to ensure accurate recording of invoiced

transactions.

Documentation and Reporting:

  • Prepare and maintain detailed records of shipments, invoices, and other relevant

documentation.

  • Generate regular reports on logistics, customer service, and invoicing metrics,

identifying areas for improvement and implementing solutions.

Problem Resolution:

  • Proactively identify potential issues in the logistics process, customer service

interactions, and invoicing procedures, implementing corrective actions as

needed.

  • Collaborate with cross-functional teams to address challenges and improve

overall service quality.

Qualifications:

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related

field preferred.

  • Proven experience in logistics coordination, customer service, and invoicing roles.
  • Strong understanding of supply chain processes, logistics operations, and billing

procedures.

  • Excellent communication and interpersonal skills.
  • Proficient in using logistics, customer service, and invoicing software/systems.
  • Detail-oriented with the ability to multitask and prioritize tasks effectively.
  • Problem-solving skills with a proactive approach to addressing challenges.
  • Knowledge of relevant regulations and compliance in the logistics and invoicing

industries.

  • Ability to work collaboratively in a team environment.
  • Strong computer skills, including proficiency in Google Suites.
