Description:

SKILLS AND REQUIREMENTS:

  • Minimum of 3 years of experience in an Administration Officer role within a service environment or a similar position.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in using Excel.
  • Experience with Microsoft D365 is preferred but not essential.
  • Significant experience in multitasking.

Responsibilities:

ABOUT THE ROLE:

The position supports the efficient day-to-day operations and workflow of the Corporate Office’s finance and administration team. This is a 12-month contract role, with the potential for extension upon completion.
The successful candidate will provide administrative support to the Corporate Finance team and other stakeholders, ensuring the smooth delivery of corporate services across the Group.

KEY DUTIES INCLUDE:

  • Assist the Finance Officer in managing motor vehicle services, including information requests, infringements, toll notices, vehicle acquisitions and disposals, and fuel cards.
  • Manage telecommunication requests and collaborate with key business stakeholders to resolve queries.
  • Liaise with vendors such as Custom Fleet, Optus, and FCM Travel regarding business requests and inquiries.
  • Handle motor vehicle and telephone service tickets and monitor the motor vehicle inbox.
  • Support the Finance Officer in administering Wilson’s expense management platform (Concur), including adding new users, updating cost centres, and assigning new credit cards.
  • Download and email invoices.
  • Assist with the end-of-month process and year-end audit.
  • Provide administrative support to the Corporate Finance Team.
  • Coordinate with internal stakeholders and key contacts regarding motor vehicle, travel, credit card, and telecommunications inquiries.
