SUMMARY
The Administrative Operations Specialist II is pivotal in enhancing efficiency and effectiveness through a blend of technical support and high-level administrative functions. Supports strategic initiatives and operational coherence, coordinates schedules, manages events, and executes specific tasks, and contributes significantly to the mission.
Must be able to obtain and maintain the required customer clearance for access to systems, facilities, equipment and property.

ESSENTIAL REQUIREMENTS
Must possess appropriate level of certifications for this position as required by the contract.
EDUCATION AND EXPERIENCE
Bachelor’s degree and a minimum of three to four (3-4) years of relevant experience, or equivalent combination of education/experience.
Responsibilities:
Essential Duties and responsibilities include the following. Other duties may be assigned.
Provides general administrative support to staff members, including answering phones, responding to emails and managing calendars. Demonstrates excellent customer service and relationship-building skills with ability to multi-task in a fast-paced environment.
Coordinates scheduling meetings with high level private sector representatives. Coordinates preparation and clearance of high-level briefing materials and documents, making extensive use of information systems to support strategic decision-making.
Prepares event request memos and coordinate with the front office on event approvals. Assists the team to organize high-level events, workshops, and meetings. Serves as site manager for engagements with high level speakers. Coordinates logistics through event management platforms.
Takes detailed notes during meetings with both government and private sector companies. Ensures notes are filed in the folders in a timely manner and with correct naming conventions to allow for quick searching. Prepares and disseminates meeting minutes to relevant stakeholders.
Provides project support, including document preparation and project tracking using project management tools. Facilitates collaboration between leadership and the different teams to ensure strategic project alignment. Drafts and edits executive correspondence.
