JOB DESCRIPTION

Davidson & Company is seeking an Administrative Professional to join our Tax and Private Enterprise team.Your responsibilities for the role will include:

Key Responsibilities

  • Administrative Support:
  • Assist the Tax Group Lead Administrator in managing schedules, calendars, and appointments and tasks, to include but not limited to, electronic filing, paper filing, scanning, printing, preparation of client documents and data entry.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and
  • Provide support to other departments, such as reception coverage, as
  • Prepare and distribute internal and external documents, reports, and
  • Assist with reception coverage as needed, including answering phone calls, and performing general reception duties as required to ensure smooth office operations.
  • Maintain and update files, records, and databases related to tax-related
  • Organize and coordinate meetings, conferences, and travel arrangements for the Tax
  • Communication and Coordination:
  • Act as a liaison between the Tax Group Lead Administrator and team members, clients, and external partners.
  • Schedule and facilitate team meetings, prepare meeting agendas, and record meeting
  • Ensure timely dissemination of information within the Tax Group and across other
  • Coordinate with other administrative assistants and support staff to streamline workflow and improve efficiency.
  • Data Management and Reporting:
  • Assist in the preparation and review of tax-related documents, such as tax returns, forms, and filings.
  • Compile and analyze data, prepare reports, and assist in generating financial
  • Maintain confidentiality and accuracy of sensitive tax-related
  • Support the Tax Group Lead Administrator in managing budgets, expense tracking, and financial records.
  • Research and Documentation:
  • Conduct research on tax regulations, laws, and industry trends to support the Tax Group’s
  • Compile and summarize information from various sources for the Tax Group’s projects and presentations.
  • Assist in the preparation and review of tax-related documentation, ensuring compliance with regulatory requirements.
  • General Administrative Tasks:
  • Manage office supplies, equipment, and inventory for the Tax
  • Assist in onboarding new team members, including setting up workstations and providing necessary resources.
  • Provide support to other departments on special projects, assisting in events and ad hoc administrative tasks
  • General office upkeep
  • Other duties as assigned

REQUIREMENTS

  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Proven experience as an administrative assistant or a similar role, preferably in a tax or accounting environment would be an asset.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Proficient computer skills, including Microsoft 365 (Word, Excel, PowerPoint), Abobe and other relevant software.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and the ability to work collaboratively in a team environment.
  • Proactive and self-motivated, with the ability to multitask and work under pressure.
  • Ability to handle multiple assignments and meet deadlines
