Job Summary
Harvard Pilgrim Health Care Institute is currently seeking a highly motivated Administrative/Project Specialist to join the Therapeutics Research and Infectious Disease Epidemiology group (TIDE) within Harvard Medical School’s Department of Population Medicine (www.populationmedicine.org). TIDE is the home of several large, complex, multi-institutional research initiatives that support major national public health activities. Our mission is to improve health care delivery and population health in partnership with health plans, delivery systems, and public health agencies.
The Administrative/Project Specialist will be responsible for providing organizational and administrative support for several faculty and key team members. Successful candidates are highly detail-oriented, self-motivated, and have experience managing multiple high priority tasks. This position requires the ability to anticipate the needs of TIDE staff and faculty and to work both independently and as part of a team This is an ideal opportunity for those interested or looking to gain experience in a public health or academic research setting. Prior experience in these areas is a plus but not required.

Key Responsibilities/Duties – what you will be doing

  • Oversee faculty members’ calendars and maintain their CVs and other support documentation.
  • Provide general administrative support for faculty and key team members, including drafting communications, creating slide decks, coordinating travel arrangements, and preparing and tracking expenses and purchase orders.
  • Assist Investigators and Project Managers with grant application submissions, including scheduling meetings, preparing budget documentation, updating biosketches, and supporting other administrative pieces of proposals and grants.
  • Arrange, coordinate, and facilitate virtual and in-person meetings and events; assist team members with planning and implementation of TIDE events and activities.
  • Work on special projects as needed.
  • Other duties and projects as assigned.

Qualifications – what you need to perform the job

  • Bachelor’s degree preferred or comparable professional work experience.
  • Proficiency with various software packages, including Adobe, Microsoft Word, Excel, Access and Power Point, and other desktop tools.
  • Excellent attention to detail, highly organized and able to handle multiple tasks simultaneously.
  • Good interpersonal skills; solid written and oral communications skills.
  • Resilient, collaborative, flexible, innovative.

WORKING CONDITIONS AND ADDITIONAL REQUIREMENTS:

  • Must be able to work under normal office conditions and work from home as required.
  • Work may require simultaneous use of a telephone/headset and PC/keyboard and sitting for extended durations.
  • May be required to work additional hours beyond standard work schedule.
