Under the general direction of the Employee Advisory Services Lead or delegate and with a high degree of initiative, discretion, and
customer service, the Administrative Representative is responsible for ensuring an exceptional employee experience by acting as
the first point of contact for employees seeking support for their day-to-day HR needs. This position manages all employees’ general
inquiries and issues, ensuring timely and accurate responses either directly or by escalation and educating employees on how to
use the self-service. This position is also responsible for the administration of the Course Award Program.

QUALIFICATIONS:

  • Minimum of Grade 12, plus two years of related experience in an administrative role, of which one year is directly related to

administering Enterprise programs and policies.

  • Proven ability to maintain the confidentiality of sensitive information.
  • Working knowledge of SAP, HRMS, and Service Hub/Now.
  • Working knowledge of HR policies, procedures, and collective agreements.
  • Ability to prioritize and complete multiple assignments in a deadline-driven environment.
  • Dependable, with mature judgment and problem-solving skills.
  • Demonstrate strong PC skills with proficiency in Microsoft 365.

Responsibilities:

  • Act as a first point of contact for employees for any HR general inquiries.
  • Assist in scheduling and organizing the new employee orientation and onboarding sessions.
  • Responsible for updating employees’ information on HRMS, including performance appraisal return and development plan

dates.

  • Ensure new employees provide proof of education and follow-up as needed.
  • Responsible for updating outstanding monitoring of tasks such as proof of education and letter of warning.
  • Responsible for preparing employment verification letters.
  • Review and process course award requests to ensure compliance with the Course Award Program guidelines and policies.
  • Communicate with employees regarding all aspects of the Course Award Program including recovery of outstanding Course

Award advances.

  • Responsible for the initiation, maintenance and tracking of all employee Personnel and Benefit files.
  • Maintain appropriate security of sensitive files, records, data, and documents.
  • Responsible for the storage and retrieval of all Payroll records with Iron Mountain including the maintenance of record

retention schedules in accordance with CRA and FIPPA/PHIA guidelines.
