Description:

As an administrative secretary, the role involves performing various school secretarial functions, including customer service for students, which constitutes a significant part of the responsibilities, as well as coordinating the administrative tasks of the secretariat.
Work schedule: Monday to Friday, 7:30 a.m. to 5 p.m. (35 hours a week) - 7 hours a day

REQUIREMENTS

  • Knowledge of educational administrative procedures is a significant asset;
  • Advanced knowledge of the software used (Word, Excel, and Outlook);
  • Knowledge of the CLARA software is desirable;
  • Excellent verbal and written communication skills in both French and English;
  • Hold a vocational diploma (DEP) with a focus related to this position or a certificate of studies recognized as equivalent by the competent authority;
  • A minimum of four (4) years of relevant experience in the position.
    This role involves interaction with internal and external clients and partners on a national and global scale. Professional proficiency in English is therefore a requirement for this role.

Responsibilities:

  • Welcome, inform, and guide clients by phone, internal messaging, and within the establishment;
  • Compose documents, design and draft memos, and routine correspondence;
  • Process and follow up on purchase orders;
  • Conduct research and prepare summaries of complex problems and issues;
  • Keep timelines up to date and verify compliance with procedures;
  • Take minutes of meetings attended and ensure necessary follow-ups;
  • Maintain the agenda of those with whom they collaborate and organize activities related to their internal or external meetings;
  • If necessary, perform any other related tasks.
