Description:

NATURE OF WORK

Under limited supervision, the chosen candidate will perform highly responsible, advanced level administrative support work in providing assistance to the Tax Division’s General Counsel and Legal Division. Work involves independent responsibility for making limited policy interpretations in dealing with the public and acting with authority on office management and administrative functions in the absence of the supervisor. Responsibilities include high level secretarial, clerical, office management, and general administrative duties with primary emphasis on relieving the supervisor of administrative details. Work is performed with strict adherence to confidentiality and privacy standards and in accordance with modern professional secretarial principles and techniques.
Functional duties include but are not limited to:
1. Provides administrative and clerical support to Legal Division Director/General Counsel.
2. Assists in scheduling and maintaining appointment calendars for Director/General Counsel and other attorneys.
3. Answers incoming calls for the Legal Division and Director/General Counsel; opens and distributes incoming mail.
4. Provides backup support to paralegals when needed, such as during the Legislative Session and in preparation for grievances.
5. Compiles and produces reports for use by the Legal Division, Tax Commissioner, other Tax Division staff, Office of the Cabinet Secretary of Revenue, and others.
6. Maintains library of Code books, ensuring it is kept current.
7. Uses a State Purchasing Card (P-card) to order office supplies and to pay for conference reservations and lodging, routine membership fees for attorneys, and other expenses for the Legal Division; accurately performs the monthly reconciliation of P-Card purchases made.
8. Acts as UKG timekeeper for all Legal Division employees, ensuring time entry is correct for payroll processing.
Performs related work as required. The chosen candidate should be familiar with the Google and Microsoft Office Suites and will be expected to use the GenTax tool set.
Employment requires a fingerprint-based criminal-background check to be provided at the West Virginia Tax Division’s expense. Failing to initiate the process or cooperate with this process, providing false or incomplete information, or discovery of disqualifying information will result in denial of, or dismissal from, employment or denial of transfer irrespective of when discovered. The chosen applicant will also be subject to a tax compliance check.

MINIMUM QUALIFICATIONS

TRAINING: Graduation from a standard four-year high school or the equivalent.
EXPERIENCE: Six years of full-time or equivalent part-time paid experience in secretarial work, two years must have included administrative support or complex clerical duties.
SUBSTITUTION: Successful full-time study in an accredited college or university, or resident business or vocational school training may be substituted through an established formula for the required experience.
