Job Summary:
Information and Reception – Serve as a receptionist and information center regarding police records for the Oklahoma State University (OSU) Police Department, other OSU Departments, other governmental agencies, and the public, in person at the department records window, via email, and by phone.
Clerical Duties – Perform clerical duties such as entering, updating, and maintaining information in the department’s computer database; sorting, filing, copying, and distributing documents; typing, recording, and scanning a variety of materials, and mailing.
Statistical Reports – Assist in preparing, developing, and distributing statistical reports.
Training – Assist with training Public Safety Communications Officers, Police Officers, and Student Records Clerks in the appropriate use and handling of police records. Assist with internal record keeping of training completed by departmental personnel.
Hours – Typically work hours will be Monday-Friday, although overtime may be assigned as needed to fulfill the department mission.
Travel – On occasion, travel may be required to attend schools, seminars, or training.
Records personnel will gain and/or provide information, provide assistance, and have contact on a typical workday basis with OSU Students, Staff, Faculty, and Administration, as well as off-campus agencies, groups, businesses, parents, applicants, etc.

Position Qualifications:
REQUIRED QUALIFICATIONS:
High School/GED
Be lawfully eligible to be employed in the United States and not have been convicted of any felony or other crime involving moral turpitude unless a full pardon has been granted by the proper agency.
Possess a valid driver’s license. Maintain an operational residential or mobile telephone number for alert calls or emergencies. Ability to pass an extensive background investigation including a fingerprint-based criminal justice employment background check.
Visual acuity to recognize a person, differentiate colors, operate a computer, and read small print. Able to speak distinctly, clearly, and in an audible manner. Ability to carry records/files and to reach over shoulder-high storage (lift and carry 30 pounds). Possess physical dexterity adequate to operate computers and other office equipment. Proficient in the use of a computer and able to work with various Windows-based software programs. Capable of remaining tactful and courteous with customers in person and on the phone. Excellent verbal and written communication skills. Ability to deal with a variety of tasks simultaneously and on own initiative. Agree to conduct oneself, both on and off duty, in accordance with the laws of the state of Oklahoma, and the policies, procedures, and regulations of both Oklahoma State University and the OSU Police Department.
PREFERRED QUALIFICATIONS:
Bachelor’s Degree in General Business, Criminal Justice, or Information Management.
Four years of clerical/customer service experience. Post-secondary education may substitute for required experience.
Articulable experience with and comfort using multiple applications within the Microsoft Office Suite, such as Word, Excel, SharePoint, Teams, and Outlook. Experience working in a team environment having demonstrated self-motivation and initiative to complete tasks and assignments in a timely manner.
Completion of OSU’s Ambassador Program.
Knowledge in Uniform Crime Reporting (UCR) and Incident-Based Reporting (IBR) systems.
