Responsibilities:

  • Serve as executive assistant to and first point of contact for the executive secretaries by manage their mail and emails, phone calls and by alerting them to questions of immediate concern from members and staff.
  • Maintain accurate schedules for the executive secretaries by managing their calendars, including coordinating and booking their meetings with internal and external stakeholders.
  • Ensure that members of the executive leadership team are prepared for meetings and presentations by compiling, organizing and ensuring all documents and materials are provided in advance.
  • Draft/proofread correspondence, often of a confidential or sensitive nature, to members, outside organizations, government ministers and officials, and school boards.
  • Transcribe, format, proofread and distribute materials for committee meetings, conferences and other events and tracking the information in databases.
  • Field phone calls, take meeting requests and coordinate interdepartmental communications.
  • Coordinate the compilation and distribution of agendas and addenda for Provincial Executive Council meetings and update distribution lists as needed.
  • Provide administrative support to members of Provincial Executive Council by responding to general inquiries, managing their incoming mail and arranging for mail delivery.
  • Facilitate Local Presidents Meetings by helping to set up and tear down meeting rooms, packaging meeting materials, registering delegates and responding to ad hoc onsite requests.
  • Advise staff on the application of Association standards in the production of Government documents and materials.
  • Code and track in a database legal bills sent to the Association.
  • Schedule appointments, making travel and hotel arrangements, and booking meeting rooms as needed.
  • Maintain accurate files, databases and records for related duties.
  • Back up other Government program assistants and helping with work overload as needed
