Description:

POSITION OVERVIEW:

We are seeking an organized, detail-oriented, and proactive Real Estate Administrator to join our dynamic real estate team in Dubai. The ideal candidate will be responsible for handling day-to-day administrative tasks, supporting the real estate agents, ensuring smooth office operations, and assisting with property onboarding through and other tasks related to client communication and documentation.

REQUIRED QUALIFICATIONS:

Experience: At least 1-2 years of experience in real estate administration or a related field. Experience in Dubai real estate market is mandatory.
Education: A diploma or degree in Business Administration, Real Estate, or a related field is preferred.

SKILLS:

  • Strong organizational skills with the ability to multitask.
  • Excellent communication skills, both written and verbal (Fluency in English required; Arabic is a plus).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems.
  • Knowledge of real estate terminology, processes, and regulatory requirements in Dubai.
  • Strong attention to detail and ability to work independently.
  • Comfort and experience in making cold calls to property owners and clients.

Responsibilities:

  • Administrative Support: Provide administrative assistance to real estate agents and the management team, ensuring smooth office operations.
  • Property Listings Management: Update and manage property listings across various online platforms and internal databases. Ensure all information is accurate and up-to-date.
  • Property Onboarding: Conduct calling to potential property owners and clients to onboard new properties for sale or rent. Build and maintain relationships with property owners to expand the property portfolio for the agency.
  • Client Communication: Respond to client inquiries (via phone, email, or in-person), schedule appointments, and provide excellent customer service to both tenants and property buyers/sellers.
  • Document Handling: Prepare, review, and manage contracts, lease agreements, and other legal documents. Ensure all documents are properly filed and stored in compliance with regulatory requirements.
  • Market Research: Conduct research on market trends, new properties, and competitors to assist agents in their property searches and sales efforts.
  • Database Management: Maintain and update CRM (Customer Relationship Management) system with client information, property details, and transaction status.
  • Administrative Coordination: Coordinate meetings, viewings, and property inspections. Assist with managing schedules for agents and clients.
  • Financial Administration: Handle invoicing, manage payment schedules for properties, and assist with budgeting for property-related expenses as required.
  • Other Tasks: Assist with any ad-hoc administrative tasks or projects as needed by the real estate team.
