QUALIFICATIONS & EXPERIENCE:

  • 3+ years’ experience in an administrative role;
  • Positive and energetic outlook;
  • Strong interpersonal skills;
  • Very detailed individual capable of managing several tasks;
  • Proficiency in Microsoft Office and aptitude to learn new software programs;
  • Prior knowledge of condominiums, property management or real estate would be an asset, but not required.

Responsibilities:

JOB RESPONSIBILITIES

First Service Residential is currently seeking a motivated Community Support Services Administrator to join our team. Reporting to the Manager, Community Support Services, the Community Support Services Administrator provides exceptional customer service to our condominium corporations and suppliers while assisting the Community Managers with the day-to-day management of a condominium property portfolio.

ESSENTIAL DUTIES & RESPONSIBILITIES (INCLUDE BUT IS NOT LIMITED TO):

  • Able to handle stress and high request volume.
  • Ability to prioritize high ticket volume and meet Service Level Agreements
  • Respond to client queries professionally and in a timely manner;
  • Partner closely with Community Managers to foster open communication regarding all activities related to their portfolios;
  • Provide full administrative support. For example; prepare professional correspondence, documents and invoices; prepare meeting agenda; filing and record keeping;
  • Reception duties including greeting visitors, answering calls, managing inbound and outbound mail;
  • Facilitating pet application forms and renovation request within the desired service level agreement time frame.
  • Responding to requests within the Service Level Agreement time frame, in regards to move in/outs and sending confirmations once the move has been completed;
  • Other duties such as providing information updates, arranging couriers, applying fees and deposits, maintaining tracking lists, Connect updates, returned mail and administrator notes.
