Responsibilities:
THE ROLE
Duties will include:
- File opening and closing procedures
- General administrative tasks, including arranging client meetings and liaising with third parties, helping with scanning and photocopying where needed
- Ensuring that various systems are up to date
- Managing ingoing and outgoing post for the team
- Electronic filing
- Downloading and saving documents
- Issuing client care letters
- Email correspondence with other law firms
- Taking minutes for team minutes
- Assisting with invoicing
- Diary management for senior lawyers
- Updating spreadsheets and keeping records
- Formatting documents
- Ordering stationary and other office items that might be needed
- Occasional communication with the office’s landlord
- Being a point of contact with the central facilities team
Skills & Qualifications
The role will involve communication with clients via the telephone and in person; therefore, excellent interpersonal skills are essential along with a good telephone manner.
The successful candidate will be organised, have initiative and be a good team player.
The ideal candidate will also have excellent client care skills in order to deal with sensitive issues involving emotional and vulnerable clients.
