Responsibilities:

MAIN DUTIES AND RESPONSIBILITIES:

  • Carry out monthly checks on fire extinguishers, emergency lighting, and legionella compliance.
  • Process assets for calibration by liaising with the HQ admin team.
  • Manage goods-in, keeping accurate records and handling associated queries.
  • Support the HQ admin team with vehicle coordination, including on-hire/off-hire inspections and key distribution.
  • General office upkeep, ensuring the office is well-maintained and supplies are stocked.
  • Handle project invoicing, updating sales orders, and monitoring vehicle invoices for accuracy.
  • Oversee the supply chain control email, ensuring prompt responses and updates.
  • Keep the suppliers list up to date, including descriptions of services and goods provided.
  • Maintain a schedule of suppliers’ insurance documents and certifications.
  • Ensure the supplier approval process is accurate, including bank account checks.
  • Set up new customers and suppliers on Sage, ensuring all data is accurate and up to date.
  • Check and verify expense receipts for submission.
  • Support the SHEQ team with completing and submitting new customer forms.
