Reporting to: Director, Governance & Regulations or designate
Salary: $50,000 - $55,000

Rugby Canada is seeking a detail-oriented administrator to support our Governance and Member
Services team. This role involves ensuring efficient governance processes and delivering
exceptional member services. The ideal candidate has strong administrative and customer service
skills, is highly organized, and responds promptly to emails and inquiries. Familiarity with backend
member databases is preferred, but training will be provided.

REQUIRED SKILLS & QUALIFICATIONS

Education and Experience:

  • Post-secondary education in a related field, such as administration, legal assistance, or

business.

  • Previous experience in an administrative role, preferably with a focus on governance or

member services.

  • Background in legal assistance or experience in a legal environment is highly desirable.

Skills and Abilities:

  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in document preparation and review.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle sensitive and confidential information with discretion.
  • Bilingualism (English and French) is desirable but not mandatory.

Work Environment:

  • Office environment with occasional remote work options.
  • Occasional travel may be required for meetings or events.

Responsibilities:

  1. Administration:
    o Provide administrative support for governance, data, and member services

including:

  • Act as a point of contact for basic registration, sanctioning, and

administrative inquiries.

  • Process COI and other administrative insurance-related requests.
  • Assist in responding to and processing inquiries in the clearance, tour

approval, sanctioning, registration, refund, and sport safety inboxes.
o Provide support for the organization’s membership management system, including
troubleshooting issues.
o Ensure accurate information is available on the system website and user guides.
o Monitor trends and make recommendations for improvements to processes to
continually strive towards excellence in member services.
o Support meeting planning with potential for occasional travel to assist at meetings
in person.
2. Reporting:
o Generate/export reports and analysis from databases to support decision-making
and reporting requirements.
o Collaborate with stakeholders to identify key metrics and develop dashboards or
reports for monitoring performance and trends.
o Assist in drafting project reports as needed.
3. Governance Support:
o Assist with the preparation and maintenance of governance-related documents and
files.
o Coordinate the signing of agreements and other important documents.
o Support the preparation of minutes and documents for meetings and ensure
accurate documentation.
o Maintain accurate and organized files related to governance and member services.
o Ensure all documents are properly filed and easily accessible for reference in the
Organization file vault.
4. Other Duties:
o Assist with special projects and initiatives as assigned.
o Perform other administrative tasks as required to support the smooth operation of
the organization.
