EDUCATION AND/OR TRAINING:

  • Undergraduate Degree/Diploma preferred but not required.

RELEVANT WORK EXPERIENCE:

  • Must have moderate knowledge of Microsoft Office applications, Captiva, Imaging Viewer, Intellifleet and Infinium.
  • Must be proficient with Microsoft Office and ARI systems.
  • Must have a strong working knowledge of all mailroom equipment, multifunctional devices, ARI switchboard and imaging software

Responsibilities:

  • Opens, sorts, documents and delivers all company mail and packages.
  • Responsible for documenting and communicating all mailing, supply ordering, copy center and imaging procedures to operating departments.
  • Prepares various monthly reports related to vendor activity.
  • Provides training to operational areas on Office Support functions and processes.
  • Assists with the daily processing of the mail, checks, imaging and filing.
  • Identifies process and system challenges and provides suggestions for improvement to her direct Supervisor.
  • Provide backup coverage to other functions within the Office Support department.
  • Primary offsite archive coordinator handling orders for pickup and delivery as well as maintaining inventory and reviewing for yearly destruction of documents.
  • Prepares company correspondence for mailing.
  • Processes outgoing express packages for FedEx, Purolator, Xpress Post etc.
  • Maintains and delivers office supplies to internal departments.
  • Provides switchboard coverage as needed.
  • Scans and indexes company documents.
  • Handles archive requests as necessary.
  • Perform all other duties and special projects as assigned.
  • Assist with Office related celebrations and Events
  • Maintain Front Desk and Greet incoming visitors
  • Assist Accounts Payable on various tasks
