Description:

OVERVIEW

Reporting to the Director, Collection Operations – AB/YT, the Administrator, Collection Operations – AB/YT is responsible for optimizing the daily activities of the Operations Team for maximum effectiveness and efficiency in a fast-paced, ever-changing workplace. This includes, and is not limited to, managing the operational email boxes, documentation, file management, scheduling and supporting all presentations and meetings.

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree or College Diploma in business administration is preferred.
  • 3+ years of experience in an office administration role.
  • 3+ years of experience in process improvement or operational efficiency capacity.
  • Excellent organizational skills and time management skills and the ability to pivot to ever-changing priorities.

SKILLS AND COMPETENCIES:

  • Analytical, conceptual, problem solving and research skills to manage multiple initiatives and tasks of varying complexity, in accordance with deadlines and shifting priorities.
  • Ability to work under pressure with minimal supervision.
  • Detailed-oriented with strong oral and written communication skills.
  • Experience working in a complex, multi-faceted environment with competing priorities.
  • Proficient in Microsoft Office 365, including SharePoint, Teams, Visio, Word, Excel, PowerPoint and Monday.com.
  • Excellent attention to detail, planning, and execution skills.
  • Effective communications skills which can build relationships at all levels in the CM organizational structure.

Responsibilities:

DAILY RESPONSIBILITIES:

  • Manage the Alberta (AB) and Yukon (YT) Operations team Outlook mailboxes, triaging emails to the appropriate Operations team members.
  • Support day-to-day operations by working with appropriate team members and resources to complete tasks and activities that drive operations forward.
  • Attend meetings to document minutes and action items, including follow-up and close action items.
  • Accurately schedule virtual or in-person meetings and associated administrative activities, as needed.
  • Develop and edit PowerPoint slide decks to ensure detailed, accurate and on-brand internal and external presentations, obtaining Communications support as needed.
  • Support the Managing Director’s communication requirements in coordination with Communications.
  • Coordinate resources to enhance efficiency and optimal work production.

OTHER DUTIES:

  • Provide support to other team members as needed.
  • Provide other administrative duties as assigned.
