Description:
OVERVIEW
Reporting to the Director, Collection Operations – AB/YT, the Administrator, Collection Operations – AB/YT is responsible for optimizing the daily activities of the Operations Team for maximum effectiveness and efficiency in a fast-paced, ever-changing workplace. This includes, and is not limited to, managing the operational email boxes, documentation, file management, scheduling and supporting all presentations and meetings.
EDUCATION AND EXPERIENCE:
- Bachelor’s degree or College Diploma in business administration is preferred.
- 3+ years of experience in an office administration role.
- 3+ years of experience in process improvement or operational efficiency capacity.
- Excellent organizational skills and time management skills and the ability to pivot to ever-changing priorities.
SKILLS AND COMPETENCIES:
- Analytical, conceptual, problem solving and research skills to manage multiple initiatives and tasks of varying complexity, in accordance with deadlines and shifting priorities.
- Ability to work under pressure with minimal supervision.
- Detailed-oriented with strong oral and written communication skills.
- Experience working in a complex, multi-faceted environment with competing priorities.
- Proficient in Microsoft Office 365, including SharePoint, Teams, Visio, Word, Excel, PowerPoint and Monday.com.
- Excellent attention to detail, planning, and execution skills.
- Effective communications skills which can build relationships at all levels in the CM organizational structure.
Responsibilities:
DAILY RESPONSIBILITIES:
- Manage the Alberta (AB) and Yukon (YT) Operations team Outlook mailboxes, triaging emails to the appropriate Operations team members.
- Support day-to-day operations by working with appropriate team members and resources to complete tasks and activities that drive operations forward.
- Attend meetings to document minutes and action items, including follow-up and close action items.
- Accurately schedule virtual or in-person meetings and associated administrative activities, as needed.
- Develop and edit PowerPoint slide decks to ensure detailed, accurate and on-brand internal and external presentations, obtaining Communications support as needed.
- Support the Managing Director’s communication requirements in coordination with Communications.
- Coordinate resources to enhance efficiency and optimal work production.
OTHER DUTIES:
- Provide support to other team members as needed.
- Provide other administrative duties as assigned.
