Description:
Sherry FitzGerald operate within a busy and dynamic environment, dedicated to delivering a service of excellence. We are seeking a detail-oriented and proactive Administrator to join our team and support one of our Directors.
The successful candidate will be capable of working independently, taking initiative, and being a proactive team member. They should possess excellent communication and organisational skills.
This is a part-time 2 year fixed term contract, 3.5 days per week (26.5 hours). The position will be based in our offices in Malahide (Unit 6, New Street Mall, Malahide).
REQUIREMENTS
- Minimum 3 years’ experience in an administration role required.
- Proficient knowledge of MS Office, in particular Word and Excel.
- Excellent telephone, customer service and communication skills.
- Excellent interpersonal skills, ability to multitask and meet deadlines.
- Highly motivated with an ability to take ownership and with strong attention to detail.
- Clear understanding of the high level of confidentiality required.

Responsibilities:
- Provide excellent administrative support to the Director.
- Develop, maintain and review administration systems to achieve maximum efficiency.
- Maintain, update and utilise our internal CRM system.
- Coordinate and manage the Directors diary.
- Ensure that all correspondence and emails are responded to and followed up in a timely manner.
- Respond to emails on behalf of the Director (where appropriate) in a timely manner.
- Support the Director with various projects, proposals, presentations, etc.
- Screening incoming communication (written, email and telephone) and following-up to ensure completion.
- Support the Director in developing and maintaining a Social Media presence.
- Draft emails, letters and any other correspondence as required by the Director but not limited to.
- Prepare agendas and collate papers for meetings and circulate to all members in advance of the meetings.
- Take minutes of meetings and circulate in a timely manner.
- Monitoring market updates from head office to circulate to clients.
- Ensure that any complaints are responded to within target timescales and referred to the appropriate Operations Manager for logging and follow up.
- Maintain the Directors business contact lists and ensure the effective management of all relevant databases.
- Collate all monthly expenses for the Director and submit for approval.
- Maintain excellent working relationships with fellow Branch Operations Officers, PAs and colleagues across all parts of the company.
- Cover and support Branch Operations duties in the branch as required particularly during holiday periods.
- Meet and greet visitors and provide refreshments when required.
- Maintain a professional and approachable demeanour at all times.
- Champion the Company Values across the Residential business.
- Any other duties commensurate with the position as required.
