DESCRIPTION

This position is a part of the Non-Academic Staff Association (NASA).

Location - This role is in person. Work primarily takes place at Northwestern Polytechnic Health Education Centre in Grande Prairie (Northern Alberta Medical Program). The City of Grande Prairie recognizes they are on Treaty 8 territory in Turtle Island.

QUALIFICATIONS

  • Post-secondary degree in Education, Statistics or related areas, other related experience and/or qualifications may be considered.
  • Minimum of 5 years administrative experience in a post-secondary educational setting supporting student services, program delivery, learning management systems, and teaching and learning.
  • Preference is given to those with experience in admissions and/or statistical data and analysis.
  • Ability to work in an ambiguous environment.
  • Ability to work independently and in a team environment, on a wide variety of tasks with competing priorities.
  • Knowledge of university admission policies would be an asset.
  • Exceptional organizational skills with the ability to multi-task and set priorities while keeping close attention to detail.
  • Superior oral and written communication, interpersonal and relationship-building skills; strong commitment to client service with a positive, professional approach.
  • Excellent proofreading skills for all functions related to the admission of applicants to the Medicine Program.
  • Proficiency in Microsoft Office and Google Suite.
  • Extensive knowledge of computers, educational technology, web page maintenance, Slate, Campus Solutions, SPSS and Photoshop.

Responsibilities:

  • Ensures university and department admissions and academic guidelines are followed.
  • Responds to inquiries from prospective applicants, school counselors, parents, the university community, professional community regarding requirements to be considered for admission, course equivalencies, document deadlines, etc. via phone calls, emails, and in-person inquiries.
  • Advises and provides assistance on application requirements, test requirements, transcripts, personal activities, program choices, volunteering, application status, receipt of documents, outstanding items, and Bear Tracks inquiries etc. and refers students to appropriate sources within the University or other institutions as required.
  • Assists with reviewing and verifying student application elements including Medical College Admission Test (MCAT) and CASPer results, Personal Activities information, cumulative grade point average (GPA) calculations and other prerequisite requirements.
  • Processes offer documents for the Northern Alberta Medical Program, including Police Information Checks, deposits, passport photos and other required forms and updates Campus Solutions for incoming students by matriculating applicants into the medicine program.
  • Participates in recruitment events for the Northern Alberta Medical Program as required by preparing materials, assisting in presentations, organizing volunteers, and answering inquiries.
  • Oversees student records in the College of Physicians & Surgeons of Alberta’s (CPSA) Undergraduate Trainee (UGT) Application Tracking System, liaising with students and the CPSA as required.
  • Administrative tasks as related to Academics and Admissions, including but not limited to oversight and maintenance of student records, collection of forms, updating information, academic standing, coordination of processes for academic mentorship and remediation for MD students etc.
  • Collaborates with NAMP leads to recruit physicians to mentor the years 1 & 2 MD students.
  • Communicates with and provides direction and guidance to the academic mentors throughout the year.
  • Conducts, actively participates in and/or provides administrative oversight and support to regular meetings and committees with relevant U of A UME, NAMP, and NWP staff and faculty to discuss upcoming deadlines, procedural changes and to maintain connections to ensure consistency.
  • Other duties as it connects to admissions and academics and as needed within the Northern Alberta Medical Programs.
