ADVANCEMENT ADMINISTRATIVE COORDINATOR

Reports To: Director of Development Job Status: 12-month, full-time, hourly
Compensation Information: Hourly rate will be between $22.00-26.00 per hour commensurate with experience. This
position is eligible for benefits (medical, dental, vision), generous PTO and holiday schedule, 401(k) savings plan with

Description: Administrative Assistant, Advancement Department is responsible for supporting the Advancement team
through schedule management, budget maintenance, event coordination, and donor data management. Exceptional
organizational skills, the ability to manage multiple priorities efficiently, and a commitment to fostering a collaborative
and professional work environment are essential for success in this position. This role involves regular interaction with
high-level donors and stakeholders, requiring the utmost professionalism and discretion.

KNOWLEDGE & ABILITIES

  • Excellent customer service temperament, strong verbal communication skills and comfortable engaging in

meaningful conversations with various constituent groups.

  • Highly organized and procedural thinker with high expectations for quality
  • Must possess strong computer skills with knowledge and experience using Microsoft Office suite, particularly MS

Word and MS Excel.
• Strong communication skills, both interpersonal and in written form, that show attention to detail and forge

strong relationships with constituents.

  • Ability work independently, manage tasks and meet deadlines with minimal oversight or supervision.
  • Flexibility to work evenings and weekends, on occasion.
  • Familiarity with DonorPerfect or a similar CRM donor database system is strongly preferred.

EDUCATION & EXPERIENCE

  • Associate degree or higher in a related field (Bachelor’s degree preferred).
  • Experience with event planning and logistics is a plus.
  • Proficiency in Donor Perfect or a similar donor management system is a plus (training will be provided).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • A positive, team-oriented attitude with the ability to work independently.

Responsibilities:

  • Meeting and Event Planning and Logistics: Plan, organize, and manage logistics for smaller Advancement
    Department events, such as donor appreciation gatherings, prospecting events and off-site meetings. Coordinate
    event details, including venue selection, catering, invitations, rsvp’s and materials preparation. Provide on-site

support and troubleshooting during events as needed.

  • Data Management: Support Advancement Department needs within the Donor Perfect, donor management

system to pull reports and maintain constituent data. Assist in data entry and ensuring the integrity of database

records.

  • Budget Oversight: Track and maintain budgets for the Advancement Office, ensuring accuracy and compliance

with organizational policies. Process invoices and expense reports for the department in a timely manner. Assist

with budget forecasting and reporting as needed.

  • Administrative Support: Serve as the primary point of contact for the Advancement Department’s administrative

needs. Prepare correspondence, presentations, and other documents as required. Manage office supplies and
ensure smooth daily operations of the department.
