ASD4 EXECUTIVE ASSISTANT

An ASD4 Executive Assistant is accountable for organising their workflow, making decisions within their defined parameters relating to their area of responsibility, seeking guidance when required. They will exercise some discretion with respect to how legislation, procedures and guidelines are interpreted as it applies to their work. They will provide administrative support that is informed and directed by their knowledge of the administration function. They may be required to undertake some research and analysis activities.
The ASD4 Executive Assistant will be required to respond and provide advice to a range of stakeholders on moderately complex operational and administrative issues to achieve work unit and the Australian Signals Directorate’s outcomes.

Key duties and responsibilities include, but are not limited to:

  • Perform ‘front of office’ support functions, including greeting visitors, receiving and responding to phone calls, emails and general correspondence.
  • Deliver executive support including managing the diary and meeting arrangements of the Senior Executive Service Officer.
  • Prepare briefing packs, reports and papers for senior Australian Signals Directorate committees.
  • Build and sustain relationships in order to work collaboratively within the work area and other areas of the Australian Signals Directorate.
  • Liaise with stakeholders and visitors of all levels, building good working relationships and providing a point of contact for assistance and general enquiries.
  • Apply sound judgment in providing executive and administrative assistance to Senior Executives.
  • Solve problems that may be challenging yet broadly similar to previous situations and research solutions.
  • Arrange, coordinate and reconcile all aspects of domestic and international travel in line with Australian Signals Directorate travel policy for Senior Executive Service Officers.
  • Assist with providing finance support in line with the Australian Signals Directorate Chief Executive Instructions.
  • Maintain records management systems in line with the Australian Signals Directorate policies and procedures.

THE ROLE

Within the Administration function, an ASD4-6 Executive Assistant is accountable under limited direction to perform and achieve moderately complex-to-complex administrative support work within an integrated workforce. They must have, or the ability to attain, a sound understanding of and compliance to relevant legislative frameworks, government decision-making and the Australian Signals Directorate’s mission and policy requirements.

  • Advise, arrange, coordinate and reconcile all aspects of domestic and international travel in line with the Australian Signals Directorate travel policy for Senior Executive Service Officers.
  • Demonstrate and apply the Australian Signals Directorate administration policy and procedures.
  • Build and sustain relationships to work collaboratively with internal and external stakeholders to achieve goals and objectives.
  • Take the initiative to progress work to meet business objectives.
  • Resolve problems using expertise, taking the initiative to identify alternative courses of action.
  • Administer finance support in line with the Australian Signals Directorate Chief Executive Instructions.
  • Maintain records management systems in line with the Australian Signals Directorate policies and procedures

Key duties and responsibilities include, but are not limited to:

  • Manage a Senior Executive Service office including, but not limited to diary management, meeting arrangements, liaison with internal and external stakeholders, responding to correspondence, coordination and prioritisation of documentation and collation of material in a timely manner.
  • Perform procurement, reconciliation and acquittal of the Senior Executive Office budget and financial delegate functions.
  • Identify risks and uncertainties and take account of these in planning, decision making and priority setting.
  • Implement and provide advice on the Australian Signals Directorate administration policy and procedures.
  • Build and sustain relationships to work collaboratively with internal and external stakeholders to achieve goals and objectives.
  • Prioritise and make recommendations to provide high level administrative assistance to the Senior Executive Service.
  • Resolve problems using expertise, taking the initiative to identify alternative courses of action.
  • Manage workflows and resources, prepare work area and team plans detailing measurable milestones and expected outcome
