Description:
MINIMUM QUALIFICATIONS
A High School Diploma or GED is required. A Bachelor’s Degree in Business/Public Relations or closely related field from a four-year accredited college or university is required. Two years of full time paid expeience in government or private industry office administration is required. (Substitution: Two years of full time experience may substitute for each year of college education lacking.) Must be able to operate a personal computer with Microsoft Office Suites.

Under general direction, performs major daily and project/program based administrative duties. Recommends and administers divisional/departmental policies and procedures. Prepares regular and special reports related to divisional/departmental operations. Performs other job-related duties as required.
ESSENTIAL DUTIES & JOB FUNCTIONS
The following duties indicate the general nature and level of work performed by the Assistant Administrator. - Answer phones, greet visitors, and direct visitors to the appropriate office.
- Perform clerical and administrative duties, such as composing letters, memos, emails, reports, and other requested correspondence.
- Perform intake of applications and any associated fees. Maintain updated records and accounting of all applications.
- Create and maintain filing systems, both electronic and physical.
- Respond to public record requests in a timely fashion utilizing GovQA.
- Research and collect data.
- Assists with the editing and filing of Administrative Orders.
- Independently answers inquiry questions.
- Performs intake for appeal applications and reviews applications for legal completeness.
- Creates and manages agendas.
- All other duties as assigned
The primary job function is to provide clerical, technical, and administrative support. The Assistant Administrator reports directly to the Executive Secretary. In completing the duties and responsibilities of this position, the Board of Building Standards & Building Appeals expects the incumbent will adhere to all departmental policies, guidelines, practices, and procedures; act as a role model both inside and outside the department; perform duties as workload necessitates in a timely, accurate and thorough manner; be conscientious about meeting department productivity standards; and communicate regularly with supervisor about department issues.
