KEY REQUIREMENTS:

  • Proven experience in facilities management or a similar administrative role involving contracts management.
  • Familiar with procurement processes such as: documentation, supplier identification, evaluation, selection, monitoring, co-ordination, relationship management.
  • Excellent organisational and time-management skills.
  • Proficiency in using Microsoft Office Suite and facilities management software.
  • High level of discretion and confidentiality.

Responsibilities:

ABOUT THE ROLE

Reporting to the Facilities Services Manager, the Assistant Facilities Services Contracts Manager will play a crucial role in supporting our facilities operations. The role involves managing, overseeing, and coordinating service contracts, vendor relationships, and ensuring compliance with organisational standards.

KEY RESPONSIBILITIES:

  • Assist in managing and overseeing facilities service contracts to ensure compliance with company standards and regulatory requirements.
  • Coordinate with service providers and vendors to ensure timely and quality delivery of services.
  • Monitor contract performance and address any deviations or issues with contractors.
  • Support the procurement process, including the preparation of tender documents and evaluation of bids.
  • Maintain accurate records of all contracts and related documentation.
  • Work closely with the Facilities Services Manager to plan and implement facilities projects and upgrades.
  • Conduct regular site inspections to ensure job completion and quality standards are met.
  • Assist in preparing and controlling the facilities budget and expenditures.
  • Coordinate with internal departments to ensure seamless operations of facilities services.
