Description:

YOUR PROFILE

  • Commercial apprenticeship or bachelor’s degree in business administration
  • Previous direct executive support of min. 5 years in multinational company in the position as Administrative Assistant, Executive Assistant, or similar
  • Experience in other commercial or administrative functions at a senior level is an advantage
  • Proficient in communication- and office technologies, particularly MS Powerpoint, MS Excel and MS Teams
  • Ability to navigate in an international corporate environment
  • Experienced with calendar management and travel scheduling and booking,
  • Ability to write minutes and corresponding to do lists
  • Ability to recognize where processes can be improved, and the initiative to improve them
  • Strong interpersonal skills and the ability to communicate with all levels and departments within the organization
  • Excellent verbal and written language skills in English and German
  • Experience leading small to medium sized projects and events

Responsibilities:

  • Lead Business Group meeting schedule, including organizing single meetings and managing meeting agendas, minutes, and follow-up items (to do list)
  • Maintain calendar, manage expenses and perform further administrative tasks for the Head R&D and Technology
  • Arrange travel plans and travel agendas and provide support in the case of changes
  • Assist with presentations, reports and internal communications. Ensure presentation standards and timelines are followed by the Management Team
  • Support the Management Team where needed (e.g. Management meetings, visits)
  • Act as a focal point of contact for other departments and external stakeholders,
  • Collaborate with the global executive assistants’ team to ensure successful execution of the group calendar, meetings with the Management Team Rieter Machines & Systems, events and projects
  • Plan, lead and manage projects and events of different magnitude
  • Handle confidential information professionally
