Cancer Services Directorate.
Clinical Oncology Department .
0.6WTE – 22.5 hours - Band 3 Assistant Medical Secretary within the Oncology Department based in the Macmillan Renton Unit at WVT.
An exciting opportunity has arisen for a person to support the Oncology department within the Cancer Services Directorate as an assistant medical secretary. The successful post holder will provide administrative support to the Oncology team.
We are looking for someone who is highly reliable and organised. As a team we work closely supporting one another and also have opportunities to work independently. The post holder will be required to be adaptable and flexible to meet the needs of the service.
Previous experience of working within the NHS is desirable but not essential.
Oncology at WVT is a satellite service run by Cheltenham General Hospital Consultants who visit here weekly to undertake Oncology clinics.
The Oncology admin team are a friendly and supportive team consisting of 2 Medical secretaries, 1 Assistant medical secretary and 1 Clerk. The admin team are responsible for supporting both visiting Consultants and CNS teams and provide a full secretarial support service to all Oncology services undertaken here at WVT. The admin team also maintain a close relationship with our Cheltenham General Hospital colleagues.
To type correspondence, reports etc from dictation for the Consultants, Speciality Doctors and CNS Team to agreed deadlines using the preferred digital dictation system.
Forwarding letters/reports by either - post, fax, telephone or e-mail as required
To understand the 62 day cancer pathway for patients and undertake any relevant training required.
To be trained and maintain competence in using Cheltenham computer systems such as TRAK Care, Chemocare and Infoflex for Oncology services.
Answering departmental phone calls in a courteous and professional manner.
To be able to assess nature of enquiry and deal with appropriately, asking advice from the Band 4 Medical Secretaries if necessary.
Make sure the notes are complete, correspondence filed and follow-up action taken before the notes are returned to Cheltenham General Hospital or Health Records.
Obtain patients’ hospital notes from CGH/Health Records and other Departments.
Open, prioritise and date stamp mail daily.
To use own initiative and manage own work load under the guidance of the Band 4 Medical Secretaries and Cancer Services Admin Lead.
To be able to provide cover for Band 4 Medical Secretaries in times of absence.
To be able to work across the Cancer Services Directorate when the need arises.
