Your Role: Assistant & Office Manager (60%) In this dynamic position, you’ll play a pivotal role in ensuring smooth daily operations and delivering top-notch administrative support to our management team. You’ll be at the heart of a fast-paced environment, contributing to exciting projects and helping shape the future of digital transformation at GFT.

Responsibilities:

  • Appointment Coordination and Travel Planning
  • Manage calendars for the management team and coordinate travel arrangements, hotel bookings, and event venues.
  • Anticipate scheduling needs to keep everything running efficiently.
  • Expense Management
  • Process and handle expense reports for the management team, ensuring accuracy and timely submission of claims.
  • Maintain organized records of receipts and related documentation.
  • Office & Administrative Support
  • Collaborate closely with the management team to handle day-to-day operations.
  • Support office-related tasks and assist Finance and HR with administrative responsibilities.
  • Meeting & Event Management
  • Plan and organize internal and external meetings as well as special events, including room bookings, invitations, and catering.
  • Ensure each event runs smoothly from start to finish.
  • Correspondence in German & English
  • Draft and edit business communications in both languages.
  • Coordinate email inquiries and manage internal communication on behalf of the management team.
  • French language skills are a plus.
  • General Team Support & Project Involvement
  • Provide administrative and organizational support to the wider team.
  • Take initiative by contributing to cross-departmental projects and activities.
  • Personnel Administration
  • Assist with onboarding/offboarding processes for employees.
  • Maintain and monitor various HR-related records to ensure compliance and smooth operations.
