Your Role: Assistant & Office Manager (60%) In this dynamic position, you’ll play a pivotal role in ensuring smooth daily operations and delivering top-notch administrative support to our management team. You’ll be at the heart of a fast-paced environment, contributing to exciting projects and helping shape the future of digital transformation at GFT.
Responsibilities:
- Appointment Coordination and Travel Planning
- Manage calendars for the management team and coordinate travel arrangements, hotel bookings, and event venues.
- Anticipate scheduling needs to keep everything running efficiently.
- Expense Management
- Process and handle expense reports for the management team, ensuring accuracy and timely submission of claims.
- Maintain organized records of receipts and related documentation.
- Office & Administrative Support
- Collaborate closely with the management team to handle day-to-day operations.
- Support office-related tasks and assist Finance and HR with administrative responsibilities.
- Meeting & Event Management
- Plan and organize internal and external meetings as well as special events, including room bookings, invitations, and catering.
- Ensure each event runs smoothly from start to finish.
- Correspondence in German & English
- Draft and edit business communications in both languages.
- Coordinate email inquiries and manage internal communication on behalf of the management team.
- French language skills are a plus.
- General Team Support & Project Involvement
- Provide administrative and organizational support to the wider team.
- Take initiative by contributing to cross-departmental projects and activities.
- Personnel Administration
- Assist with onboarding/offboarding processes for employees.
- Maintain and monitor various HR-related records to ensure compliance and smooth operations.
