Description:
We are recruiting for an Assistant Operations Manager in London.
You will be a supportive force for our senior leadership team across Public Inquiries and Public Law, assisting in significant bids/business opportunities, project management and providing project support. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for detail.
This would be a hybrid role encompassing Executive Assistant – panel management, project support and operational oversight. You will be responsible for providing comprehensive and effective support to the Senior Leadership Team within PIPL. In this dynamic position, you will complete a broad range of activities, administrative tasks and projects that enable and facilitate the effective leadership of PIPL, operating with integrity and professionalism at all times.

YOUR SKILLS AND EXPERIENCE

- 5+ years of experience in a government or legal EA, operations, project or communications role.
- Strong organisational and planning skills and an excellent attention to detail with a proven ability to manage multiple tasks concurrently.
- Highly proficient IT skills, in particular the ability to handle complex electronic diaries and emails and the MS Office suite of programmes.
- Exceptional communication and interpersonal skills and an ability to engage with stakeholders throughout the business at all levels of internal stakeholders and external clients.
- Possess the ability to handle confidential information appropriately and work with discretion.
- Ability to cope with a wide range of competing demands and changing priorities.
- Ability to anticipate issues, problem solve and provide practical innovative solutions.
- A degree in business or related field, or equivalent experience preferred.
- Experience of producing and maintaining complex source material, information and data.
Responsibilities:
Will include but not limited to:
- Working directly with the senior leadership team across PIPL to proactively manage and support their panel and consortium requirements on a day-to-day basis, assist with workload management and provide assistance in a discreet, diplomatic and efficient manner.
- Provide high quality and timely administrative and organisational support, through a broad range of duties including proactively managing multiple complex email inboxes and diaries, including the management of business travel and itineraries. Exercise discretion and effective gatekeeping, with a focus on forward planning and scheduling
- Ensure the senior leadership team are advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Support the planning and execution of meetings, ensuring timely collation, consolidation and distribution of monthly reports, preparation of agendas and minutes/actions and monitor follow up of actions.
- On behalf of the Partner in PIPL, act as the key role in coordinating and drafting, where appropriate, reports, papers, briefings, and analyse management information for a range of internal and external audiences. Liaise with Partners to ensure they are well prepared when representing the senior team in key meetings with internal and external stakeholders ensuring that TLT is presented well.
- Liaise with a wide range of internal and external stakeholders including Group Leads, Team Leaders, Partners, HR, Risk and colleagues, to support the Partners and wider commercial services ambitions to ensure key deadlines, actions and milestones are tracked and delivered on time.
- Act as a subject matter expert on administrative systems and processes. including being point of contact and manager of Firm transformation and change projects
- Identify and implement improvements in business support processes. including the development and management of internal database and folder management of sensitive files and company documents
- Accountable for the development and coordination of internal and external communications, including liaising with the BD&M team for their timely publishing and impact.
