QUALIFICATIONS

  • Diploma of Collegial Studies (two-year pre-university DEC) in a field pertinent to the primary responsibilities and two to four years of relevant experience.
  • Good knowledge (Level 4) of spoken and written English and French in order to prepare correspondence and respond to information requests in either language.
  • Good knowledge (Intermediate Level) of Microsoft Word (to format letters, lists, and do mail merges) and Excel (to create and format spreadsheets, do graphs, and calculate formulas) and databases).
  • Ability to work in a fast-paced environment with excellent organizational skills, with ability to follow priorities while maintaining flexibility and meet deadlines.
  • Strong interpersonal skills; ability to interact effectively with faculty and staff; good communication skills with the ability to work independently and as part of a team; tact and courtesy; sound judgment; discretion required with regards to confidential matters.
  • Pro-active attitude, problem-solving skills, and exemplary customer service.

Responsibilities:

  • Act as the primary contact person for the Research Grants unit. Receive and respond to telephone, mail, fax and e-mail inquiries (including the Office of Research (OOR) role account), and re-direct questions as appropriate.
  • Respond to general inquiries from researchers regarding agency regulations and procedures; verify grant applications submitted to the OOR for required elements and completeness and enter into research database.
  • Liaise with external bodies with regards to grant awards as necessary; update and modify records and prepare Notices of Award as instructed by the Manager.
  • Create files for all grant applications received; record and keep researchers’ information secure.
  • Maintain knowledge of all major granting agencies deadlines and requirements for submission of grant applications and grant management.
  • Assist with Transfer of Funds Agreements - liaise with researchers to provide information regarding the process for receiving funds from another institution; prepare, process, and verify the documents for transfer requests, as appropriate; obtain required documentation; coordinate appropriate signature process; liaise with other institution(s) to execute and process the transferred award.
  • Update and maintain OOR internal database(s); aid in the development of new office automation required for successful execution, monitoring, and completion of research grant projects.
  • Gather data and assist with completing reports.
  • Update, maintain and prepare the Research Grants Compliance lists (HREC, AREC, EHS and other certificates as required by agencies) for monthly meeting with the Research Ethics Unit.
  • Maintain an effective office filing system and database for all levels of operations and archive in accordance with University retention rules.
  • Perform other duties in support of the unit.
