Responsibilities:

We are looking for an Assistant to provide efficient and effective administrative and practical support to the Director of Digital Development (Sarah Ellis) and Executive Advisor (Sandeep Mahal). This will include the smooth running of diaries, supporting team meetings and coordination of departmental and strategic projects.

Reporting to the Executive Advisor, your duties and responsibilities will include (see the job description and person specification for the comprehensive list):

  • Overseeing and managing the full administrative function of the Directors: diary management, scheduling meetings, booking meeting rooms, compiling briefings/papers for meetings, packs and smooth running of schedules.
  • Preparing Directors with agendas, briefings for meetings, and note-taking for key meetings.
  • Liaising with programme directors and project managers, ensuring meetings are in place for all Research Centre projects.
  • Preparing presentation materials and briefing documents in collaboration with the Directors and team members, ensuring materials are distributed to attendees ahead of meetings.
  • Managing all local, national and international travel bookings and arrangements including schedules, meeting agendas and expense claims.
  • Arranging meeting logistics, booking meeting rooms, meeting and greeting visitors, arranging Catering and coordinating the IT/online set up.

To be suitable for this role, you must have:

  • Demonstrable administration experience in a busy office environment, supporting senior leaders, departments or project teams.
  • A high level of technical ability and expertise in the operation of MS Office packages and IT systems, including databases and presentation software.
  • Excellent interpersonal, written and verbal communication skills.
  • Strong organisational skills and the ability to multi-task and prioritise a varied and deadline driven workload.
  • Accuracy, attention to detail and the ability to act with patience and observe confidentiality.

This is a full time, permanent position, which is based in Stratford-upon-Avon, with occasional travel for events and meetings, there will be the opportunity to work remotely.
