Your Opportunity
We are seeking a dynamic and proactive professional to join our team as the Assistant to the State Director in Perth. In this essential role, you will provide comprehensive administrative support, ensuring the smooth operation of the State Director’s office and playing a key role in enhancing the productivity and efficiency of Mission Australia.
Your responsibilities will include managing complex diaries, coordinating office activities, and handling the flow of communications between the State Director and senior leaders. You will be expected to apply specialised skills and knowledge to manage organisational programs, policies, and activities, often where procedures are not clearly defined.
As a pivotal support to the State Director, you will also relieve them of administrative detail, enabling them to focus on strategic priorities.
This role is ideal for a seasoned Executive Assistant with a proven track record in administrative support and project management, who thrives in a fast-paced environment. You will need to be adept at navigating multiple priorities, adapting to change at short notice, and working with a diverse range of senior stakeholders. Your Key Responsibilities
- Provide high level administrative and operational support to the State Director and Regional Leaders to ensure office is effectively organised
- Act by our values and build positive working relationships
- Coordinate the State Directors diary and meetings including travel arrangements and conferences and resolve conflicting demands
- Arrange local and state-wide meetings as required and compile and distribute minutes with action items
- Utilise your strong administrative skills to review documents and prepare presentations
- Be intuitive when prioritising incoming correspondence and action where necessary
- Actively liaise with internal and external stakeholders to ensure smooth and effective business operations to achieve Missions Australia’s strategic priorities
- Receive and make confidential enquiries on behalf of the State leader
- Develop systems to ensure the effective management of information and data
Requirements for Success
With a significant background in working with senior executives, you will be confident in your excellent organisational and time management skills. Other requirements include:
- Certificate in Business Administration and/or a minimum of five years’ experience in a similar role
- Superior communication and customer service skills and the demonstrated ability to apply initiative and to problem solve
- A flexible and adaptable working style with the capacity to change focus and direction swiftly
- Experience of working within a role requiring a high level of confidentiality
- Project Management skills
- Skilled in coordinating senior leaders’ diaries, appointments and travel
- Excellent knowledge of current office technology systems such as the Microsoft Office Suite
- Expert in financial systems and procedures, including accounts payable
- Full driver licence with no restrictions
