POSITION DESCRIPTION:
The Assistant to the Chief of Operations provides confidential administrative support and is responsible for supporting them across all their responsibilities. The COO counts on them to be well-organized, personable, discreet and detail-oriented to keep strategic and operational initiatives moving forward in a coordinated way. The position can also be designated to represent the COO in the planning and implementation of the union’s programs, key external relationships, and program updates with the management team, and to oversee the preparation and organization of their priority work and time.
This position is full-time working at our Head Office in Richmond Hill, Ontario
EDUCATION
At SEIU Healthcare, we understand that the best people do not always have the same access to education, and while post-secondary education is always preferred, we want to make sure nothing stands in the way of finding the right person.
REQUIRED EXPERIENCE
- At least five (5) years experience as an Executive Assistant, preferably in a unionized environment.
- Minimum of one year of directly related experience, preferably in a labor union environment.
REQUIRED SKILLS AND QUALIFICATION
- Exercises a high level of autonomous decision-making and problem-solving skills.
- Strong planning skills, ability to discern priorities, and manage multiple responsibilities.
- Emotional intelligence and professional self-management under pressure.
- Ability to effectively type transcribe and perform other word processing functions using Microsoft Word.
- Proficiency in the use of a personal computer, including the ability to use Windows, e-mail, and the Internet.
- Ability to work independently and cooperatively with others in a team environment.
- High degree of initiative, good judgment, good organizational skills, and the ability to work under strict deadlines.
- Ability to determine priorities and problem-solve with minimum supervision.
- Proficiency in oral and written communication skills.
- Willingness to work long and irregular hours, including weekends, evenings, and holidays as required.

Responsibilities:
- Supports the work of the COO, including developing and implementing plans related to their priority responsibilities.
- Represents the COO with local union staff in union-wide planning, decision-making, and operations as assigned.
- Serves as an advisor to the COO and supports them in strategic thinking in priority areas, including work with labor movement and political partners.
- Ensures the preparation of the COO for key SEIU leadership and external partner meetings, which includes materials preparation and briefing.
- Provides confidential administrative support to the COO and acts as a liaison between them and internal and external stakeholders.
- Provides schedule management for the COO under the pressure of changing priorities and multiple deadlines.
- Manages administrative staff that are assigned to programs under the leadership of the COO.
- Other duties as assigned.
