Description:

JOB SUMMARY

The School of Health Sciences, operating with an MOU between Dalhousie University and Nova Scotia Health, provides educational programs for 5 regulated health professions: respiratory therapy, diagnostic medical ultrasound technology, radiological technology, MRI, and nuclear medicine technology. Reporting to the Administrative Manager, the Assistant to the Director will provide high level, confidential administrative support for the the Director’s Office.

REQUIRED QUALIFICATIONS

  • Business/ Administrative Professional program with approximately five years’ related experience (or equivalent combination of training and experience).
  • A high level of computer proficiency. This includes but is not limited to strong experience with Office 365 applications and other similar productivity tools.
  • Demonstrated interpersonal, communication (verbal and written), attention to detail, and organizational skills.
  • Demonstrated initiative with the proven ability to work independently, make sound decisions, and solve problems.
  • A positive, professional outlook and commitment to meeting client needs.

Responsibilities:

  • Act as gatekeeper and strategically manage the Director’s time with respect to priorities, goals and objectives. Monitor inbox, draft email correspondence and responses on behalf of the Director as well as prepare, draft, proofread and execute correspondence and documentation.
  • Coordinate the Director’s daily schedule to arrange all meetings and appointments with both internal and external stakeholders, and coordinate travel and accommodation arrangements.
  • Coordinate Strategic Plan initiatives and projects with faculty, staff, and appropriate committees. Track activities and timelines. Maintain and organize files and documents, format project plans, etc. for comprehensive review and analysis by the Director.
  • Work cross-functionally with a range of internal and external stakeholders, including Nova Scotia Health partners, to ensure the effective flow of information regarding priorities.
  • Support a range of committees including scheduling, preparing agendas, drafting minutes, and aiding meeting chairs. Follow-up as required on committee recommendations and action items.
  • Assist with a variety of additional administrative and office duties as assigned, and help execute a varying range of projects and duties as needed.
