Description:

To provide high-level administrative support to the University Registrar and office. This role involves managing schedules, coordinating meetings, handling correspondence, maintaining records, and assisting with special projects as assigned by the Registrar. The person will liaise with other university departments, students, and external stakeholders to facilitate efficient operations and ensure effective communication within the registrar’s office and beyond. By supporting leadership within the Office of the Registrar, this position supports the development of strategic and operational goals and aids in the development of consistent Registrar policies and procedures across the University.

SKILLS AND QUALIFICATIONS

Required: Bachelor’s degree or equivalent; 2-3 years of administrative experience in an office or university setting. Strong oral and written communication, attention to detail, ability to multitask, leadership potential, personal organization, time management, budget management, commitment to customer service, interpersonal skills, quantitative and qualitative analytical skills, event planning experience; ability to work with relational database to use student information and financial information as required by business processes. Proficiency in MS Office Suite and GSuite applications, such as Google Docs, Drive, Calendar, etc., Adobe.
Preferred: 3-5 years previous Executive Assistant experience in higher education setting preferred. Notary Public of California preferred. Strong interest in higher education preferred; previous Office Management experience preferred. Etrieve, WaveNet, PeopleSoft end-user familiarity strongly preferred

This is a Regular, Nonexempt, 40 hour per week position.
Expected Pay Range: $25.57 - $28.41 per hour
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.

Responsibilities:

  • Coordinate calendar, travel, hospitality, tech support, facility reservations, scheduling meetings, email and phone correspondence, timecard approvals, managing and ordering office supplies, interdepartmental Office of University Registrar processes and special projects for the University Registrar as assigned.
  • Support the professional development and inter-office collaboration of the Office of the Registrar staff through record keeping, policy updating and creation. Responsible for coordinating and planning quarterly luncheons and staff retreats. Work closely with other members of the registrar’s office and academic departments to ensure smooth operation of academic policy enforcement and student support services.
  • Oversee the budget management process for the Office of the Registrar. Submit requisitions, internal requisitions, and serve as the OpenInvoice approver. Serve as the billing contact for outside vendors.
  • Serve as a credit card proxy for the University Registrar.
  • Compile and analyze data related to relevant metrics. Prepare reports and presentations for university registrar, staff committees, and outside agencies as needed. This may involve data entry and ensuring understanding of compliance with privacy laws and university policy.
  • Serve as the HR liaison and assist in setting up interviews and coordinate hiring process for Office of the Registrar staff positions.
  • Assist with registration when needed.
  • Serve and Emergency Response Team (ERT) representative and notary public for students and others in the University.
  • Other duties as assigned.
