Responsibilities:

WHAT WILL YOU DO AS AN ASSOCIATE, ADMINISTRATION & BUSINESS SUPPORT?

This role will provide administrative assistance to the Head of Sustainability and the Sustainability Office team members. To succeed in this role, you must have previous experience supporting executives and teams from the financial services industry. You should demonstrate a high degree of integrity, initiative, attention to details and independence in working on highly confidential matters.

Business Administration & Project Support

  • Provide general administration support to the Head and the Sustainability Office team
  • Maintaining individual and team-wide calendars including scheduling and managing meetings, coordinating across different departments and external counterparties, manage meeting conflicts and prioritization issues
  • Managing travel arrangements for the team, including booking travel arrangements, coordinating out-of-town meeting schedules, managing expense claims
  • Managing email groups owned by the team and the team’s mailbox to follow up and respond to enquiries promptly
  • Supporting the Head with light email correspondence as necessary
  • Provide project support and coordination by maintaining and tracking project records & budgets, handling staff and vendor hiring/selection, on-boarding and off-boarding matters, and processing of payments for external memberships, subscriptions, and consulting projects
  • Assist various business matters on an ad hoc basis
  • Undertake other projects and administrative duties as assigned (i.e. managing office and stationary supplies, administering/filing of documents or invoices) and other standard administrative matters as needed
  • Work closely with executive assistants internally and externally to coordinate meetings with strategic partners in the industry

Events & Engagement Coordination

  • Assist in organizing departmental and social events
  • Manage multiple-channel correspondences and booking tools in relation to event management
  • Coordinate support and engagement with internal and external teams and vendors (catering, logistics, rooms, furniture arrangements as needed for key events)

WHAT QUALIFICATIONS OR SKILLS SHOULD YOU POSSESS IN THIS ROLE?

  • Minimum 3 to 5 years of relevant experience in providing secretarial and administrative support to a team of professionals
  • Ability to be a dynamic team player and collaborate well across different teams, with sensitivity to the needs of various internal/external stakeholders
  • High learning agility with good pro-activeness in problem solving and striving for greater efficiency and effectiveness in task management
  • Highly organized and detail oriented, with the ability to handle multiple simultaneous tasks, prioritize and meet engagement deadlines
  • Excellent communication (written and verbal), interpersonal and organizational skills
  • Good general knowledge of IT equipment and usage, Word, PowerPoint, Excel & Outlook
  • Experience in finance industry is an added advantage
