Responsibilities:

YOUR ROLE

As the Associate Administrator you are responsible for maintaining effective communication with both internal and external stakeholders, including plan members, employers, and local union representatives. Your primary focus is to ensure the accurate maintenance of plan member records. In addition, you will provide support to the Contact Center by addressing member inquiries related to programs managed by the Administration Department. Please note this is a 12 month contract that will work one day a week from the Etobicoke office and one day at the Woodbridge office.

You will work towards achieving a comprehensive understanding of administrative procedures and delivering high-quality service in line with client agreements. Their responsibilities may vary based on the evolving needs of the assigned client block such as:

  • You will be responsible for maintaining various aspects of member records.
  • You will maintain professional communication of plan details to relevant parties within the assigned block of clients, which may change periodically.
  • You will ensure accurate maintenance of employer files, including updating and managing rate codes and collective agreements.
  • You will handle both manual and electronic updates for the assigned block of clients, subject to changes over time.
  • You will maintain professional communication with internal and external stakeholders, including plan members, employers, and local union representatives, as necessary.
  • You will ensure the accuracy and currency of information for both employee and employer data, as well as work history.
  • You will ensure tasks required for generating specific reports and letters, such as self-pays, terminations, remittances, and monthly reporting.
  • You will prepare reports for disbursements, including premiums, reciprocals, and refunds, for monthly distribution.
  • You will provide additional support to various departmental needs.
  • You will perform remittance data entry and handle deposits of all types, including self-pays and employer contributions.
  • You will resolve tier 1 inquiries from both members and employers; escalate more complex issues to Senior Administrators.
  • You will conduct employer/member call backs and manage the email box for tier 1 inquiries.
  • You will handle basic premium and collective agreement rate updates, specifically single rate changes, under the review of Senior Administrators.
  • You will manage various files, including online enrolment, nimble files, BPS files, self-pay loads, and employee loads
