Responsibilities:
The Client Onboarding Associate will be an integral part of the Systems team. On a day-to-day basis you will be responsible for ensuring a simple, fast and easy onboarding experience for our new clients. You will also be responsible for understanding and managing non-standard distributions for our clients. Our business is continually evolving, and you will help us shape its growth. Key Accountabilities
- Working with Issuers and their agents to assure a smooth onboarding experience
- Reviewing data files and liaising with Issuers and their agents to cure any deficiencies
- Ensuring all required documents and funds are received
- Setting up new Issuers and Issues on the system
- Loading shareholder data
- Leading and participating in projects on an ad hoc basis
- Working closely with other departments, such as Client Services, Finance, and Compliance to ensure smooth client onboarding and dividend operations
- Ensuring accurate calculation of dividends based on company procedures and agreements
- Addressing any issues or discrepancies related to dividend payments, such as missed payments or incorrect amounts
- Setting up, overseeing, and reconciling DRIP Plans
- Accurate tracking and billing of services via internal tracking software
- Maintaining strict adherence to compliance standards
- Maintaining a strong focus on retention and growth by delivering exceptional service
- In addition to the duties listed above, management may request the completion of other duties or projects as assigned
Skills and Experience
- High attention to detail and accuracy
- Strong interpersonal skills with excellent verbal and written communication
- Ability to remain organized while prioritizing multiple tasks with varying levels of urgency
- Solutions-based attitude and an eagerness to drive process improvements by identifying problem areas and presenting solutions to management
- Sound computer skills and ability to adapt to and apply new technologies

- Ability to maintain confidentiality of any sensitive information as part of the job function.
- A working knowledge of the securities industry as it relates to transfer agencies, is preferred.
- Experience is a client facing role required
- Experience with DRIP plans an asset
