Description:

Lead and manage administrative services, staff, programs, for the SACC Department Before and After care School program. Must utilize and become proficient in the following systems (Daxko, Camp Docs etc.), receiving, coordinating, and organizing all paperwork, parent requests etc.

  • Plans, organizes, and provides leadership to the Before and After School Care program and Summer Camp using the current curriculum and standards of the YMCA.
  • Hires, schedules, trains, coaches, and mentors’ staff during program hours. Coordinate staff schedules at SACC sites.
  • Maintains all state and local license regulations and ratios. Maintain Staff files as it pertains to state licensing regulations.
  • Executes administrative duties, payroll, reviews, staff meetings, branch meetings, material preparation, program registration, incident reports etc.
  • Ensure accurate record keeping (ie: billing, medical cards, attendance, rosters).
  • Ensure adequate and appropriate program supplies are on hand.
  • Communicates effectively with staff, program participants, and parents. Interfaces with parents for the registration process.
  • Coordinates program registrations, special events, Parents Night out, I.D.E.A. program.
  • Participates as a member of the YMCA Branch Leadership Team and participates in YMCA organization projects and events.
  • Coordinates mailings, distributions, school announcements as needed to support program growth.
  • Ensure positive discipline practices are being used within all areas of the programs.
  • Submit written training schedule and staff development plans to supervisor and ensure they are being delivered.
  • On a daily basis, actively engage with the day-to-day operations of the SACC/Camp programs.
  • Maintain current CPR and First Aid certification.
  • Attend mandatory staff meetings and training courses as required and deliver pieces of trainings and meetings as required.
  • Coordinate all reports for SACC. Prepare comparison reports for SACC.
  • Emails list of children each year to School offices and as necessary during the school year
  • Maintain a list of staff upcoming callouts for the SACC Director
  • Prepare forms for the upcoming school year.
  • Keep track of attendance for all children receiving agency funds.
  • Maintains checklist of all staff certifications and expiration dates
  • Actively participate and support the Annual Giving Campaign.
  • All other miscellaneous duties and projects as assigned by supervisor.
  • Preferred bachelor’s degree in education, psychology, or a similar field
  • At least 3-5 years’ experience in an office environment
  • At least 3-5 years’ experience in SACC or Camp
  • Excellent skills in Excel, Microsoft Word, and Outlook
  • Program Management experience, budget development and leadership experience and the ability to continually develop and grow programs.
  • Previous supervisory experience with the ability to meet deadlines, schedule, coach and develop staff.
  • Ability to interact with a diverse population.
  • Excellent communication skills (oral and written)
  • Ability to prioritize and multiple tasks.
  • Math ability and understanding of financials.
  • Demonstrable customer service skills
  • Excellent listening, communication, and telephone skills
  • Organized, analytical and detail-oriented with ability to multi-task and prioritize appropriately.
  • Own Transportation
  • Flexibility in availability is required.
