Required Qualifications:

Responsibilities:

Wells Fargo is seeking an Associate Executive Specialist to join our Global Operations Shared Services team within the Chief Operating Office (COO). Learn more about our career areas and business divisions at wellsfargojobs.com.

In this role, you will:

  • Provide a high level of professional support which includes a balance of senior executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables, and pulling routine reports
  • Proactively manage leader calendars by prioritizing meetings and events to maximize time effectiveness and take appropriate actions to keep on track with daily schedules
  • Manage Leadership team meeting agenda/reporting package
  • Coordinate and assist with preparation of Town Hall scheduling, topics, and material
  • Drive and track ongoing recognition routines such as anniversaries, birthdays, etc
  • Help on-board and off-board new and/or terminated employees and contractors, and helps the team navigate obstacles to find solutions
  • Assist team with scheduling meetings with key partners
  • Help make travel arrangements (book flights, hotels, car rentals). Help plan off-site team meetings
  • Proactively schedule meetings with leadership team to ensure preparedness for meetings and deliverables
  • Collaborate and consult with peers, colleagues, and managers to resolve issues and achieve goals
  • Interact with shareholders, regulatory agents, media, and internal and external customers
  • Collaborate with team on the standardization of less complex administrative duties to contribute to the overall team effectiveness
  • Identify opportunities for improving or implementing processes and tools within executive business management functional group
  • Establish and implement office procedures and controls, handle most sensitive customer issues and confidential correspondence
  • Present recommendations for resolving more complex situations and exercise independent judgment while developing understanding of the function, policies, procedures, and compliance requirements
