Description:
SUMMARY:
IWPR is seeking a highly motivated, detail-oriented, organized, and creative Associate Project Manager, with an interest in working with activists and journalists, particularly in restrictive environments in Latin America. The project aims to support civil society initiatives in Latin American countries focused on strengthening democracy and combating censorship.
The Associate Project Manager will have project management experience and will become deeply knowledgeable about projects’ objectives, terms, indicators, timelines, budget, and other key project components, as well as IWPR’s and our donors’ policies.
The Associate Project Manager will support the Project Manager to oversee project overall completion, with specific duties in terms of ensuring activities are implemented in a timely manner and on budget, preparing contracts, monitoring deliverables, resolving beneficiaries’ inquiries and requests, following organizational policies, guiding project staff on compliance matters, collecting monitoring and evaluation data, preparing reports and presentations for donors, assisting in development needs, facilitating meetings, supporting area directors in identifying solutions, and other project management tasks as needed.
The Associate Project Manager will report to IWPR’s Organizational Development Manager and will coordinate with area directors, consultants supporting the project, and the broader team.
EDUCATION AND/OR EXPERIENCE REQUIREMENTS:
- Bachelor’s degree in Administration, International Development, Human Rights, Project Management or a related field;
- A minimum of 2 years experience in project management;
- Experience in administrative and financial project support;
- Excellent organizational skills and ability to handle multiple tasks simultaneously with attention to detail;
- Interest in topics related to democracy, activism, freedom of expression, and access to information in the Latin American context;
- Excellent skills in Spanish and English, including the ability to write professional reports in both languages.
SKILLS AND ABILITIES:
- Ability to track and manage budgets. Strong organizational skills and understanding of the importance of administrative and logistical tasks, with a willingness to implement them;
- Ability to work with project management software, contact management systems, and other digital tools;
- Creativity, flexibility, and persistence to ensure project objectives are met, even when facing setbacks;
- Ability to adapt to challenging and unconventional environments and to interact with different types of people;
- Willingness to adapt to security measures necessary for working in the region;
- Willingness to work remotely with colleagues across different time zones.
Responsibilities:
- Collaborate to ensure project activities are implemented promptly, within budget, and according to expected quality standards;
- Report activities to the project manager, promptly identifying any delays or difficulties that could hinder the execution of the project;
- Gather input to prepare monthly and quarterly progress reports on the projects;
- Ensure proper financial management of the project by making payments according to the established plan and documenting disbursements in the corresponding trackers;
- Cooperate and oversee that consultants comply with IWPR policies and procedures;
- Cooperate to ensure that grant commitments are met and delivered according to the work plan, budget, and project timeline while maintaining the overall quality of the work;
- Document processes as needed and keep the documentation organized and constantly updated;
- Keep project folders updated and organized so that they are always audit-ready;
- Contribute to ensuring proper working conditions, considering the safety of consultants and beneficiaries;
- Collaborate in grant writing and developing new project ideas for the Latin America office;
- Cultivate good relationships with current and potential beneficiaries, partners, and donors;
- Apply rigorously and ensure that security policies for restrictive environments are enforced;
- Undertake other duties that may be reasonably requested by the Organizational Development Manager or the Regional Programs Director;
- Work with the appropriate staff on the design and implementation of monitoring and evaluation plans, ensuring that indicators are measured and targets met, and that all activities are evaluated.
