POSITION SUMMARY:

The Associate Project Manager (APM) assists the Project Manager in coordinating studies across different departments within the organization. They actively collaborate with all parties involved, ensuring progress and providing timely updates to the customer.
The Associate Project Manager coordinates all project activities, managing technical and service aspects until the study is finished.

MINIMUM REQUIREMENTS/QUALIFICATIONS:

  • Requires understanding and proficient use of SOPs required by company Quality standards.
  • Requires excellent organizational, planning, verbal, written, and numerical skills, able to analyze and define solutions and lead multiple tasks to meet strict deadlines.
  • Requires a strong and effective communicator with the ability to optimally present information and respond to questions from groups of managers and clients.
  • Ability to develop strong customer leadership skills; proactively anticipates, understands, and responds to the needs of clients to meet or exceed their expectations.
  • Ability to learn and master all internal systems associated with projects (i.e. Salesforce, GPMS, Trackwise).

EXPERIENCE REQUIRED OF/IN:

  • Requires accredited college, university, or recognized professional degree, preferably in a health-related field.
  • Ideally requires 1-2 years of successful experience in project management as a Project Support Associate.
  • Requires strong interpersonal and communication skills to include excellent relationship building.
  • Requires proficiency in personal computer applications (e.g., Microsoft Word, Excel, PowerPoint, Access, Outlook).
  • Requires experience with customers in a dynamic environment.
  • Requires excellent communication, organizational skills, and project coordination skills.

PREFERRED QUALIFICATIONS:

  • Proficiency in appropriate project planning tools (e.g., Microsoft Project) is preferred to effectively communicate achievements and critical path activities and responsibilities.
  • Prefer in-depth understanding of clinical trials.
  • Prefer basic understanding of Project Management concepts.
  • Prefer Certification in Project Management by a recognized institution in project management.

WORK CONDITIONS/PHYSICAL REQUIREMENTS:

  • Ability to work occasionally in a cold environment with exposure to dry ice, liquid nitrogen cryogenics, hazardous and infectious agents, marked changes in temperature.
  • Must be able to lift and carry up to 50 lbs.
  • Must be able to use a computer up to 8 hours per day.
  • 10 - 25% Travel as needed.

Responsibilities:

KEY RESPONSIBILITIES:

  • Responsible for ensuring that all business activities come together in a timely manner to meet the customer, business, and study requirements.
  • Coordinate and communicate all relevant activities, internally and externally, to ensure timely readiness of services and products for the study or customer’s needs.
  • Evaluates and resolves preliminary design of the study and collates all the required information in order to enable an effective delivery of the study.
  • Employ project planning tools, forms, and processes to communicate breakthroughs and critical path activities and responsibilities.
  • Works with the Master Production Scheduler to optimize production of clinical supplies, balancing the customer requirements with the best use of available capacity.
  • Builds and/or supports creation of batch documentation/distribution setup documentation, operational documents using internal systems.
  • Monitors project activities and day-to-day business.
  • Provides accurate and timely financial forecasting/reporting and is responsible for revenue recognition for projects.
  • Timely provision of reports and other information to customers if applicable.
  • Ensures compliance to data maintenance/study filing systems and maintains accurate records for all work undertaken.
  • Applies Good Manufacturing Principles in all areas of responsibility.
  • Demonstrates and promotes the company vision.

In addition to the above tasks, an APM may perform a Subject Matter Expert role, which may or may not be client-facing.

  • Subject Matter Experts (SMEs) have detailed technical knowledge of a specific topic, techniques, or business process.
  • The SME is the representative for the company for that area of specialist knowledge.
  • The SME may be tasked with building materials for and presenting at bid defenses, audits, or other client meetings.
  • To be an SME, you must be an experienced practitioner, willing to present and stay updated in your field
